Job Summary: 

This position is accountable for supporting the Director of Quality Management in areas related to risk management, quality, and compliance. Responsible for performing various administrative, secretarial, and clerical duties. Understands and follows the organization's policies, procedures, and standards. An independent worker, meeting the day-to-day needs of the Director of Quality Management. This position is also accountable for supporting facility administrators as assigned.

 

Job Description:

  • Assists CNO by preparing weekly letters to patients scheduled for Total Joint Classes; works with Surgery Scheduling department to accommodate patient requests to reschedule classes.
  • Provides support to Clinical Administrative leaders
  • Assumes responsibility for the distribution/collection of monthly infection prevention surveys to physicians.
  • Coordinates/Attends scheduled meetings as assigned for the purpose of taking minutes, transcribing meeting minutes, and maintaining minutes in binders and via scanning.
  • To include but not limited to: Pharmacy and Therapeutics, Infection Prevention, Quality Assurance Performance Improvement (QAPI), Document Management Committee (DMC), Continuous Survey Readiness (CSR), and other committees as assigned.
  • Communicates the mission, ethics, and goals of the facility, as well as the focus statement of the department.
  • Consistently demonstrates a professional, self-directed, mature, disciplined, and tactful approach to department responsibilities.
  • Coordinates/maintains the administrator on call (AOC) calendar.
  • Demonstrates awareness of the responsibilities of the position and how it interfaces with rest of the healthcare team.
  • Works closely with all department members as required.
  • Gather information from committee chair, prepare agenda’s, documents, and PowerPoint presentations, as requested for Pharmacy and Therapeutics, Infection Prevention, Quality Assurance Performance Improvement (QAPI) and other committees, as assigned.
  • Responsible for revising and distributing the FSH internal phone list.
  • Works with Medical Staff Specialist and Executive Assistant to prepare and distribute Annual Meeting Calendar, as well as send Outlook meeting invites.
  • Schedules meetings, prepares meeting agendas, and meeting materials as requested.
  • Assist with annual flu vaccination data
  • Serves as backup for the Executive Assistant.
  • CalHEART Registrant.
  • Responsible for QAPI data collection and report
  • Supports the Director of Quality Management with the Quantros Reporting system and preparing quarterly Peer Review & Quality Committee letters.
  • Includes, but is not limited to, handling phone calls, faxes, prioritizing mail calendar.
  • Other duties as assigned.
  • Responsible for the coordination and maintenance of the FSH on-call schedule.
  • Responsible for the following in relation to FSH Contracts: o Contract review o VQP review/submission o Obtaining/organizing vendor details for contract request o Attending contract meetings as required with USPI/Tenet o Determining Referral/Non Referral status o eRFA submissions o Updating Polistat with all current contracts

Required Experience

Required Licenses/Certifications:

  • Notary License preferred

 

Minimum Education and Experience: 

  •  High school diploma or equivalent
  • Two years of related experience

Salary range: $26.00 - $28.00  hour (Depending on Experience)

Hours: 8-hour shifts
