Position Summary
The Patient Access Representative plays a vital role in ensuring a positive and seamless experience for patients from their first point of contact through check-out. This position combines front desk operations, patient registration, and insurance verification responsibilities while maintaining accuracy, professionalism, and compassion in a fast-paced healthcare environment.
Key Responsibilities
Front Desk & Patient Registration
- Greet patients and visitors warmly and professionally upon arrival
- Register patients accurately and efficiently, verifying demographics and contact information
- Manage check-in and check-out processes to ensure smooth patient flow
- Schedule, reschedule, and confirm appointments
- Answer incoming calls and respond to patient inquiries in a courteous and timely manner
- Collect co-pays and payments as required, following established procedures
- Maintain organized and professional front desk and waiting areas
Insurance Verification & Financial Clearance
- Verify insurance eligibility, benefits, and coverage prior to services
- Obtain referrals and pre-authorizations as needed
- Accurately enter insurance information into the electronic medical record (EMR) system
- Communicate clearly with patients regarding insurance coverage, financial responsibility, and outstanding balances
- Collaborate with billing and clinical teams to resolve insurance-related issues
Compliance & Administrative Support
- Maintain strict compliance with HIPAA regulations and patient confidentiality standards
- Ensure accuracy of patient records and documentation
- Assist with administrative tasks and other duties as assigned
Required Qualifications & Experience
- High school diploma or equivalent required
- Minimum of 2–3 years of experience in patient access, medical front desk, or healthcare registration preferred
- Demonstrated longevity and stability in prior roles
- Hands-on experience with insurance verification, eligibility checks, and authorizations
- Familiarity with EMR systems and basic office software
- Strong customer service, communication, and interpersonal skills
- Ability to multitask, prioritize, and remain calm in a fast-paced clinical environment
- Exceptional attention to detail and organizational skills
