Surgery Scheduler! at Baylor Scott & White Sports Surgery Center at The Star:
The Surgery Scheduler is responsible for planning and coordinating surgical appointments for physicians. The ideal candidate must have strong ASC experience, preferably in Orthopedics and Pain Management, and demonstrate knowledge of insurance verification and patient financial responsibility processes.
Scheduling & Coordination:
- Maintains the master surgery schedule to ensure coordination between physicians, anesthesia providers, laboratory services, and insurance carriers.
- Schedules surgical procedures and coordinates calendars between the Surgery Center and physician offices.
- Gathers and verifies all required patient information, including procedure details, required supplies, special equipment, and insurance information; accurately enters all data into the computer system.
- Schedules anesthesia services based on physician preference and provider availability.
- Ensures pre-certifications and referrals are obtained and verified prior to the date of service.
- Performs insurance verification and accurately calculates and communicates patient financial responsibility, including deductibles, co-insurance, and co-payments.
- Communicates patient responsibility estimates clearly and professionally to patients prior to surgery.
- Confers with the OR Nurse Manager, Charge Nurse, and/or Administrator to determine status of scheduled cases and adjusts schedules to accommodate unforeseen changes.
Administrative & Operational Support:
- Performs all duties in alignment with the Surgery Center’s strategic objectives and operational standards to support and meet all organizational goals.
- Provides coverage and support for front business office functions, including receptionist duties and other business operations as needed.
- Cross-trained to effectively perform additional job functions within the business office.
- Interacts appropriately and effectively with all patients and staff regardless of age, background, or ethnicity
Qualifications:
- Minimum of 2–4 years of hospital, medical office, or ASC experience required.
- At least 2 years of Ambulatory Surgery Center (ASC) scheduling experience required; Orthopedics and Pain Management experience strongly preferred.
- Experience with insurance verification and patient responsibility calculation required.
- High school diploma or equivalent required.
- Strong knowledge of medical terminology.
- Excellent verbal and non-verbal communication skills.
- Ability to manage time effectively in a fast-paced, high-volume environment.
- Demonstrates professionalism, strong phone etiquette, and exceptional customer service skills.
- Shows initiative and a genuine desire to contribute to the overall success of the surgery center.
