We are Hiring for a Scheduling Coordinator for our growing GI Center!

Position: Scheduling Coordinator

Location: Endoscopy Center / Ambulatory Surgery Center (ASC)

Reports To: Business Office Coordinator

Job Type: Full-time, No Holidays

Job Description

The Scheduler is responsible for coordinating and managing the schedule for all endoscopic procedures (colonoscopies, EGDs, etc.) and surgeries, ensuring maximum efficiency, accuracy, and high-quality patient care. This role serves as a key role between patients, physicians, and the procedure room staff. Providing clear pre-operative instructions and ensuring all necessary paperwork, insurance authorizations, and clinical clearances are in place before the procedure. Assist with insurance verification as needed.

Key Responsibilities & Duties

  • Procedure Scheduling: Schedules patient procedures (e.g., Colonoscopy, Upper Endoscopy) in the EHR system (e.g., Epic, GI-specific software like SIS, HST).
  • Patient Education & Preparation: Communicates pre-procedure instructions (fasting, prep kits, medication adjustments) to patients and their families.
  • Insurance & Authorization: Verifies insurance eligibility, obtains necessary pre-certifications, and ensures prior authorizations are approved as needed.
  • Pre-op Documentation: Obtains, scans, and updates patient history and physical (H&P) documents, lab results, and informed consents into the electronic medical record (EMR).
  • Facility Coordination: Coordinates with anesthesiology groups and ensures all special equipment requested by the physician is available for the procedure.
  • Managing Schedule Changes: Manages cancellations, add on patients and rearranging the schedule to maintain an efficient workflow.
  • Daily Workflow Management: Completes scheduling requests within 24–48 hours of receiving orders.

Qualifications

  • High school graduate or equivalent.
  • Excellent communication skills.
  • Excellent planning and organizational skills.
  • Ability to work under pressure.
  • Excellent telephone etiquette.
  • Thorough knowledge of medical terminology.
  • Ability to handle and prioritize multiple tasks.
  • Having the ability to foresee problems
  • Alertness and adaptability
  • Holds all patient information confidential.

Preferred Qualifications

  • Experience in a Gastroenterology (GI) specialty.
  • Prior experience in an Ambulatory Surgery Center (ASC).
  • Bilingual (English/Spanish).
