The Senior Executive Assistant acts as a strategic partner and advisor to the CEO and senior management team, supporting decision-making, coordinating cross-functional initiatives, and ensuring alignment with organizational goals. Manages board governance, regulatory filings, legal processes, and physician transactions while providing operational leadership across departments. This role expands upon core executive administrative support responsibilities by adding strategic, governance, regulatory, and cross-functional leadership duties, while continuing to provide high-level support to the CEO and senior management team. May also serve as the designated Corporate Secretary or Assistant Secretary to support official governance and compliance requirements.

 

Essential Functions:

  • Must have excellent knowledge of a variety of computer software applications and word processing, spreadsheets, database and presentation software (MS Office products).
  • Must have continuous attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
  • Effectively working and cooperating with supervisors, co-workers, and clients.

Functional Accountabilities:

  • Partner with the CEO and executive team to prioritize and execute strategic initiatives.
  • Manage board governance processes, including drafting meeting agendas, minutes, resolutions, and corporate records.
  • May serve as Corporate Secretary or Assistant Secretary for HPI and its subsidiaries as appointed by the Board:
    • Prepare and maintain accurate board and committee minutes.
    • Ensure timely execution and filing of consents, resolutions, and corporate governance documents.
    • Maintain the official corporate records book.
    • Maintain historical company documents and records, including ownership history, joinders, K-1s, and other critical corporate governance materials.
    • Coordinate regulatory filings with the Secretary of State, IRS, and other agencies.
    • Ensure adherence to bylaws, policies, and governance best practices.
    • Act as liaison between executive leadership and the Board for documentation and governance matters.
  • Oversee and administer physician equity transactions, including ownership changes, documentation, and approvals.
  • Coordinate and manage medical directorship contracts.
  • Assist with preparation, initial review and/or screening of regulatory filings (e.g., DME licenses, Medicare 855 applications).
  • Manage and coordinate organizational audit responses and strategy (e.g., RStar audit), ensuring collaborative, compliant, and successful outcomes.
  • Provide oversight and guidance on legal and contracting processes to reduce reliance on outside counsel.
  • Supervise administrative staff supporting corporate and executive functions.
  • Act as a liaison and connector across departments, ensuring alignment and communication between hospitals, corporate, and leadership teams.
  • Act as liaison for owners/partners of the company.
  • Develop and manage internal communications to ensure transparency and alignment of priorities.
  • Prepare executive briefings, reports, and presentations to facilitate informed decision-making.
  • Maintain and leverage deep institutional knowledge to serve as a trusted resource for executives, managers, and staff at all levels.
  • Continued Executive Administrative Support:
    • Manage calendars and travel planning for the CEO and Senior Management.
    • Serve as buffer for calls and correspondence to enable executive focus.
    • Organize employee roundtables, board and corporate communications, annual meetings, and corporate events.
    • Manage corporate cell phone accounts for HPI and its subsidiaries.
    • Provide back-up coverage for administrative staff as needed.
    • Attend contracting and legal calls as an executive team representative to escalate issues when needed.

 

Qualifications:

  • Bachelor’s degree required; advanced degree preferred.
  • 5+ years of executive support, operations, or project management experience.
  • Demonstrated experience in healthcare, corporate governance, or regulatory compliance.
  • Proven ability to manage confidential, high-stakes initiatives independently.
  • Excellent interpersonal, communication, and strategic problem-solving skills.
  • Strong organizational skills with the ability to manage multiple complex projects simultaneously.
  • Required to have a valid license to drive.
