Job Summary:

Responsible for identifying visitors, completing a log book on visitors, answering telephones, and keeping family informed of patient’s progress.

Essential Job Duties and Responsibilities:

The following description of the job responsibilities and performance expectations are intended to reflect the primary responsibilities of the job, but are not intended to describe all duties other responsibilities as may be assigned from time to time.

·         Admits patients to the Facility following the established policies and procedures.  Verifies patient’s demographics, surgeon, and planned surgical procedure(s), obtaining pertinent information to register patient and attaching proper means to document patient identity

·         Confirms patient’s insurance information and co-pay information, collecting any amount due (if applicable).

·         Assembles patient medical record forms and prepares patient identification.

·         Provides pertinent information to the patient's family in the waiting area according to established policies and procedures.

·         Answers telephone and intercom courteously and in a quiet, pleasant voice.

·         Accepts and relays messages effectively in a timely manner.

·         Informs physician's office of admissions and activities.

·         Distributes the Surgery Schedule.

·         Maintains and protects each patient's right to confidentiality, adhering to all HIPAA guidelines/regulations.

·         Assumes clerical duties and responsibilities as necessary.

·         Assists in ordering and stocking clerical supplies.

·         Assists in maintaining cost‑effectiveness by preventing waste of supplies.

·         Maintains order and cleanliness of the front desk.

·         Performs interdepartmental errands when needed.

·         Retrieves facility mail from Post Office Box, if applicable.

·         Assists with preparation and maintenance of Facility records and reports.

·         Coordinates the acquisition of diagnostic tests and places the test reports in the appropriate section   of patient medical record.

·         Coordinates the reception area activities for effective communication with all areas of the facility.

·         Monitors waiting and nourishment area, maintaining the order and cleanliness, as well as restocking of the nourishment area, as needed.

·         Identifies emergencies and initiates appropriate response.

·         Performs miscellaneous job-related duties as assigned and any other duties as assigned by the Business Office Manager.


Required Skills

Must have the skills necessary to operate office equipment that are required to fulfill job duties. 
Medical terminology and computer experience beneficial

Physical demands/working conditions: 

Requires prolonged sitting, some bending, stooping and stretching.  Requires and manual dexterity sufficient to operate a keyboard, copier, telephone, fax machine and other office equipment. Occasionally requires lifting up to 20 pounds.


Required Experience

High school graduate or equivalent.
One-year previous experience or some hospital clerical experience or medical terminology preferred.
