ABOUT THE POSITION
Under the supervision of the CEO, the Executive Assistant is responsible for coordination of schedules and documentation relative to the administrative processes of Senior Management and the hospital. This individual performs a variety of routine functions in assigned areas to maintain an organized flow of hospital operations.

Required Skills
- Minimum 5 years of executive administrative assistant experience. Preferably in a health care setting.
- Must have good time management skills.
- Show a genuine desire to work and improve the center as a whole.
- Must be detail oriented and very organized.
- Must be very pro-active and require little supervision.
- Must be able to communicate verbally and non-verbally in a professional manner.
- Ability to promote positive relationships with patients and staff.
- Must have excellent computer skills and extensive knowledge of the Microsoft Office software.
- Must have problem solving and decision-making skills.
- Professional appearance.
- Must demonstrate excellent phone etiquette and exceptional customer service skills.
Required Experience
Essential Job Duties and Responsibilities:

· Provides administrative support to executives to ensure efficient operation
· Requires independent judgement, initiative and critical thinking on all assignments
· Responsible for writing and editing emails, memos, letters, contracts, forms, agreements, meeting minutes and preparing communications on the executive’s behalf
· Ability to manage multiple assignments, set priorities and adapt to changing conditions
· Organizes meetings, including scheduling, reminders and catering, when necessary
· Manages the executive’s calendars, including making appointments, scheduling conference calls with internal and external attendees and prioritizing time-sensitive matters
· Coordinates on-line organizational presence and develops, implements and executes strategic marketing/advertising plans through outreach and community engagement
· Systematically and efficiently manages contract creation, execution and analysis for the purpose of maximizing financial and operational performance and minimizing risk
· Reviews and/or provides guidance in the preparation of contracts, agreements, amendments and partnership transactions
· Supports Governing Board and Partnership by preparing all correspondence for the monthly Governing Board and quarterly Partner meetings and various other committee meetings
· Distributes Monthly Operations Review (MOR) reports and financials in collaboration with CFO
· Coordinates signatures on capital requests, agreements and maintains comprehensive and accurate records
· Communicates with patients, families, visitors, employees and physicians by phone, in person or email to obtain information needed to complete tasks in a timely manner
· Maintains general office files, facility files, partnership binders and special project files
· Other duties and/or special projects, as assigned
