We are seeking a highly skilled and proactive Executive Assistant to provide comprehensive support to senior DoD executives. This role requires exceptional organizational skills, discretion, and the ability to manage a wide range of administrative and executive support tasks with efficiency and professionalism. The ideal candidate is a strategic thinker who thrives in a fast-paced environment and can anticipate the needs of leadership.
ESSENTIAL JOB FUNCTIONS: (not limited to duties as described – performs related duties as requested)
l Manage complex calendars, including scheduling meetings, appointments, and travel arrangements
l Serve as the primary point of contact between executives and internal/external stakeholders
l Prepare and edit correspondence, reports, presentations, and other documents
l Coordinate logistics for meetings, events, and conference calls, including agendas and minutes
l Screen and prioritize emails, calls, and requests, handling them independently when appropriate
l Track deadlines, manage priorities, and ensure timely follow-up on action items
l Maintain confidentiality of highly sensitive information
l Conduct research and compile data for reports, proposals, and decision-making
l Assist with personal tasks and errands as needed to support executive efficiency
l Liaise with internal departments and external partners to facilitate executive initiatives
LEVEL OF SUPERVISION:
· Must be able to function independently
· Provide overview and general use training to all organization members and key leaders upon request
Travel Required:
· 10%
EDUCATION & EXPERIENCE:
l A bachelor's degree is required.
l Must have exceptional knowledge or understanding in supporting C-Level Executives, preferably in a DoD organization.
l Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), and Adobe Acrobat.
l Familiarity with Social Media web platforms.
l Experience using Electronic Task Management System (ETMS2) or similar task management system.
KNOWLEDGE & SKILLS:
l Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with tools like Zoom, Slack, or Google Workspace is a plus
l Customer service experience
