JOB DESCRIPTION:  The Accounting Specialist is a full-time position reporting to the Controller and assisting the Vice President for Business and Finance.  

Job duties include but are not limited to: 

  • Review invoices for appropriate documentation, input invoices into the Banner financial system, and process payments to vendors for Auxiliary accounts;
  • Understand and apply proper coding for team travel and other expenditures;
  • Process internal departmental billing and journal entries for campus departments such as, but not limited to, the Print Shop and Physical Facilities;
  • Check for and identify funds received by direct deposit and wire transfers, code the funds for entry into the Banner financial system, and track online payment batches from the University’s student payment system;
  • Process checks such as, but not limited to, Human Resources monthly benefits, sales tax collections, refunds, and debt collection;
  • Analyze and reconcile reports, claims, transactions, and accounts in accordance with state and federal requirements;
  • Process cancellation of Auxiliary checks or claims in the Banner financial system;
  • Coordinate with the Office of Management and Enterprise Services (OMES) and the Oklahoma State Treasurer (OST) as needed for payments, claim cancellations, stop payments, and journal vouchers;
  • Process journal entries in OMES systems, such as PeopleSoft, to transfer funds from the University’s clearing account into various accounts, enter payroll tax withholding payments and request wire transfer to the Internal Revenue Service (IRS), and make entries to request wire transfers for student refunds;
  • Responsible for running nightly closing processes;
  • Track and reconcile data related to cash receipts and transactions processed by the Student Accounts Office;
  • Prepare monthly invoices for tenant rentals of campus offices, track payments, and ensure accuracy of rental payment deposits;
  • Serve as backup for the Accounting Specialist position for Educational & General (E&G) and other accounts;
  • Transmit Human Resources claims to the State of Oklahoma as needed;
  • Assist with compiling documentation for internal and external audits as needed;
  • Communicate effectively in a professional and courteous manner with employees, vendors, and the general campus community;
  • Perform other related duties as assigned by the Controller or Vice President for Business and Finance.

MINIMUM QUALIFICATIONS:

  1. Graduate of a standard high school or equivalent.
  2. Two years or more of relevant work experience. A Bachelor’s degree in Accounting, Finance, or a business-related field may be substituted for work experience.
  3. Must be able to comprehend and interpret policies, procedures, and regulations and communicate effectively in both oral and written form.
  4. Ability to perform problem solving and maintain effective working relationships. 

PREFERRED QUALIFICATIONS: 

  1. Bachelor’s degree in Accounting, Finance, or a business-related field.
  2. Three years or more of accounts payable or related experience in a school or university system;
  3. Knowledge and experience with computer systems and Microsoft Office.
