Administrative Assistant I – Testing Center

Primary Purpose

The Testing Center Administrative Assistant I supports the daily operations of the Testing Center by providing administrative support, coordinating testing services, assisting students, faculty, and staff, administering and proctoring examinations, and maintaining testing security and confidentiality. This position also supervises and trains a team of approximately 7–8 student workers while helping ensure a professional, organized, and student-centered testing environment.

Major Responsibilities & Duties

Customer Service and Scheduling

         Respond to inquiries in-person, via telephone, and via email regarding Testing Center services, policies, procedures, and scheduling

         Assist students, faculty, staff, and community members in a professional and courteous manner

         Manage the calendars of the Testing Staff using Microsoft Outlook

Budget and Purchasing

         Manage budget for the Testing Center

         Initiate purchase orders, order office supplies, and maintain a current inventory listing of all technological equipment

         Review and reconcile invoices and statements with purchase orders for payment approval

Test Administration and Proctoring

         Administer and proctor exams in accordance with instructor requirements and testing certification policies

         Monitor testing rooms to maintain academic integrity and security of testing materials

         Enforce Testing Center policies consistently and professionally

Supervision and Training of Student Workers

         Schedule student work study coverage for the Testing Center

         Oversee hiring and training of student workers in the Testing Center

         Approval of time sheets for Testing Center work study students

         Sort mail for proper distribution within the office and manage interdepartmental mail

         Maintain an efficient filing system which meets the needs of the Testing Center

Reporting and Assignments

         Track testing data for monthly reporting to Testing Coordinator

         Promote student awareness of the Testing Center and its services through flyers, brochures, and web pages

         Assignment of student workers to projects that aid Testing Center operations such as shredding or cleaning

Required Education, Skills, Knowledge, and Abilities

         High school diploma or equivalent

         Two years of increasingly responsible administrative and/or secretarial experience or other combination of education and experience

         Ability to maintain confidentiality and professionalism

         Experience in a variety of computer applications such as Microsoft Office (Outlook, Excel, Word, and PowerPoint), Adobe Acrobat, and Zoom with a demonstrated ability to learn and implement new applications

         Ability to assist a wide variety of individuals using excellent interpersonal, listening, and communication skills in order to advise students

Preferred Education, Skills, Knowledge, and Abilities

         Completion of an Associate’s or Bachelor’s degree

         Experience working in a higher education and/or testing environment

         Experience with testing software such as RegisterBlast

         Experience with Banner9 or similar university systems

         Experience supervising or training student employees

         Experience working with a variety of traditional and non-traditional student populations

Physical Demands & Working Environment

         Requires sitting at a desk and viewing a display screen for extended periods of time with frequent interruptions

         Requires manual dexterity for typical office work

         Must be able to partner with colleagues without exhibiting behavioral extremes

         Ability to access, input, and retrieve information from a computer or other electronic device

         Moderate lifting and carrying up to 20 pounds

         Ability to operate a University vehicle

         Some evening or weekend work may be required
