Qlarant is seeking a dedicated and organized Administrative Assistant to join our team on a full-time, regular basis. As an integral part of our operations, the Administrative Assistant will be responsible for providing comprehensive support to our staff, assisting with daily office needs, and managing our company’s general administrative activities. This role is pivotal in ensuring that our office operations run smoothly and are successful in supporting other business activities. The ideal candidate will be comfortable with multitasking, have excellent communication skills, and be able to function well in a fast-paced, dynamic environment. Key responsibilities include managing calendars, scheduling meetings, preparing reports, maintaining records, handling correspondence, and supporting visitors. Additionally, the Administrative Assistant will be expected to facilitate communication within the office and with external stakeholders, assist with event planning, and contribute to team efforts by accomplishing related tasks as needed. The role demands a high level of discretion and confidentiality as the Administrative Assistant may handle sensitive information. This position does not offer a per diem and is classified as 'At-Will,' meaning employment is not for a specified duration but rather ongoing as per the company's requirements and employee performance. Required Skills

  • Proven administrative or assistant experience
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work

Required Experience

  • A minimum of 2 years of experience in an administrative role
  • Experience with office management tools (databases, HR software, etc.)
  • Experience in handling a wide range of administrative and executive support-related tasks
  • Experience with diary management and scheduling for management
  • Experience in preparing reports and financial data
  • Familiarity with email scheduling tools, like Outlook or Gmail
  • Experience in providing support to a team
  • Experience in managing office supplies and coordinating maintenance
  • Experience in event planning and coordination
  • Experience with travel arrangements and itinerary planning
