Job Description:
Performs a variety of duties related to the coordination, development, and delivery of events scheduled in and around the Music Department, Hole Memorial Auditorium (HMA), Hamilton Terrace and other designated/approved areas within/around the HMA facility.
Student Event Coordinators (SECs) will interface and communicate with internal and external parties that have inquired/reserved usage of the requested HMA location for their event. This includes ensuring the appropriate staffing (Student Event Workers) and technical support (The University’s A Team) has been scheduled to facilitate the event, equipment is available for the event, schedule and conduct the moving/removing/resetting/cleaning/replacing of chairs, tables, stage furniture, etc., and providing quality customer care and timely communication throughout the entire process.
Student Event Coordinators are responsible for communicating and confirming with other University Departments/personnel if their services will be needed and scheduled. Collaborating departments include: Campus Safety and Security, Custodial and Plant Services, Dining Commons and Catering, Information Technology (if applicable), Risk Management, and the Music Department’s Office and Event Coordinator. SECs are the on-site management for an event and may need to engage in troubleshooting any challenges that arise. SECs serve as a liaison with event attendees, guest speakers, and Student Event Workers.
Student Event Coordinators are expected to facilitate, manage, and work external and internal events. This includes coordinating and receiving any rentals from confirmed vendors, communicating with renters to ensure everything is ready for their event, preparing the rented spaces and common spaces to ensure they are ready for the event, hosting the event and floating to various areas that might need assistance or supervision, providing basic clean-up in restrooms, common areas, and other areas that are being used for the event, cleaning up after the event and ensuring any equipment/furniture that was used/moved is back in the original location and in good condition, and
opening/unlocking/locking up/closing up all the areas utilized for the event, including turning the lights on/off in Hole Memorial Auditorium.
Qualifications:
- Must be a current student at La Sierra University.
- Effective, respectful, and timely communication, follow-up and interpersonal skills.
- Ability to handle multiple tasks and conflicting priorities.
- Detail-oriented and organized.
- Experience leading others is preferred.
- Previous administrative or office experience is a plus.
- Proficiency in Microsoft Office/Google Suite.
- Event planning experience is a plus.
- Accuracy and the ability to work independently, as well as in groups and teams is required.
- Must be able to handle light to moderate labor including lifting, bending, and kneeling.
