Advancement Administrative Assistant
Staff
The Administrative Assistant assists with various projects within the Advancement and Development areas as directed by the Vice President for Advancement and is responsible for coordinating the Advancement office, secretarial and record management function, and has additional responsibilities for assisting the Director of Advancement Operations. This position requires extensive contact with donors and prospects and the employee must exhibit tact and sensitivity to confidential information.
Duties and Responsibilities
- Assist the Vice President and Director of Advancement Operations with organizing mail, maintaining files, drafting and preparing correspondence, scheduling appointments and coordinating travel arrangements.
- Coordinates office communication; screen calls and direct emails for proper attention. Cover phones when other staff are absent.
- Coordinate the office management of supplies.
- Compiles data, drafts financial, statistical and/or narrative information; develops reports and special projects as requested.
- Assists in preparation and management of budgets for the department.
- Relates to board members, donors, and staff in regard to requests for information and assistance.
- Maintains communication between vice presidents.
- Arranges, participates in, and implements, as directed, conferences, staff and committee meetings.
- Assist in coordinating, preparation and gathering materials for events.
- Participate in professional meetings, workshops and conventions as appropriate.
- At the direction of the Vice President for Advancement, assists all advancement department events when additional staff or expertise would contribute to the success of a project or event.
- Must be able to work in a windowless office.
- Perform other duties as assigned and or required.
Wage Range: $20.04 to $23.50 per hour, plus generous benefits

Required Experience
Bachelor's degree (B. A.) from four-year college or university in Office Management, English or other related field is desired. Five years secretarial experience with at least two years in an Administrative Assistant capacity.
