Xavier University invites applications for an Academic Programs Operations Manager to support the operations of the School of Psychology, with a focus on the Clinical Psychology Doctoral (PsyD) program. The position oversees admissions, accreditation, budget, and curriculum coordination for a large, dynamic academic unit serving 80–90 doctoral students, 170–200 psychology majors, and 50–70 minors. This position is anticipated to start mid-January 2026.
Key Responsibilities
Admissions Management (≈50%)
- Lead PsyD admissions from inquiry to matriculation, serving as the primary contact for prospective students.
- Manage applications through Slate CRM, coordinate interviews and onboarding events, and track offers/enrollment.
- Conduct initial application reviews and collaborate with university offices on recruitment and orientation.
Accreditation & Compliance
- Prepare required reports and self-studies for APA accreditation.
- Collect and analyze student, alumni, and faculty data for program quality metrics.
- Manage student compliance for clinical practica (immunizations, background checks, etc.).
Budget Management
- Oversee School of Psychology budgets, expenditures, and resource allocations.
- Manage hiring, payroll, and tuition remission for approximately 25 teaching/graduate assistants.
Curriculum Coordination
- Collaborate on course scheduling and enrollment management.
- Monitor enrollment data to inform planning and support program assessment and improvement.
Qualifications
- Bachelor’s degree required; Master’s preferred
- 3–5 years of related experience
- Strong communication, organizational, and data management skills
- Proficiency in Microsoft Office; experience with Slate CRM preferred
