Xavier University's College of Osteopathic Medicine is seeking an Administrative Assistant III to be an integral member of our team and processes. The Administrative Assistant III position’s role is to assist the Dean and Associate Deans of the College of Osteopathic Medicine with their various responsibilities, to work independently with a high degree of confidentiality, and to perform other duties as assigned. This individual in this role will foster collaboration among college staff and provide ongoing training and direction for the college’s support staff. The ideal person for the job will be a problem solver with excellent communication skills and excellent attention to detail. The ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.
Responsibilities:
· Managing all day to day administrative and clerical tasks associated with the efficient operation of the Dean’s Office of the College of Osteopathic Medicine which includes coordinating and managing calendars, conference and travel arrangements as well as tracking budget activity and balances.
· Supporting the functions of the Dean and Associate Deans’ interactions with Xavier student serving units.
· Manage all events for the College of Osteopathic Medicine, to include marketing and communications.
· Supporting the Dean and Associate Deans with functions external to the College of Osteopathic Medicine and Xavier University, and taking a leadership role to direct initiatives and projects within the Dean’s Office.
Requirements:
· High School Diploma or Equivalent Required, Associates Degree Preferred
· 3-5 Years’ experience in like role with similar responsibilities and complexities
· Excellent Communications Skills
· Proficient in Microsoft Office and aptitude to learn other software
· Ability to adapt to changing environment with multiple priorities
