Xavier University’s Williams College of Business is seeking a highly organized, student-focused Administrative Assistant for the Undergraduate Office. This fast-paced role is perfect for someone who enjoys working in an academic setting and is committed to supporting student success.  We’re looking for a proactive problem-solver with strong communication skills, attention to detail, and the ability to manage multiple tasks, schedules and deadlines.

KEY RESPONSIBILTIES

  • Customer Service & Student Support.  Be the welcoming first point of contact for students, faculty, and guests. Provide confidential, solution-oriented assistance, and connect individuals with the right campus resources.
  • Office & Administrative Management.  Oversee the daily operations of the undergraduate office—manage calendars, answer emails and calls, order supplies, and manage student workers, budgets, and purchasing processes.
  • Campus Collaboration & Communication.  Partner with faculty, staff, and key administrative offices (Academic Advising, Registrar, Financial Aid, Bursar, Admissions, etc.) to maintain accurate records, support seamless registration, and ensure timely, effective communication.
  • Event & Program Coordination.  Assist in planning and executing student-focused events, such as student orientations, major/career exploration days, and academic recognition programs. Support college study abroad initiatives and recruitment events.
  • Data & Records Management.  Maintain student records, help promote and process scholarships, and generate reports using university systems (e.g., Banner, Workflow, Canvas, EAB). Ensure compliance with confidentiality and academic policy standards.

EDUCATION & EXPERIENCE

  • High school diploma or equivalent.  Associate’s or Bachelor’s degree preferred.
  • 1-3 years of experience in an office environment or related.
  • Ability to adapt to a changing environment and handle multiple priorities.
  • Excellent communication, organizational, and analytical skills.
  • Proficient in Microsoft Office, with aptitude to learn new software and systems

This is an hourly position working 37.5 hours per week.
