Xavier University’s Office of the President is seeking a highly organized, proactive, and extremely detail-oriented Executive Assistant to provide comprehensive administrative and executive support to the President and Chief of Staff. This critical role requires exceptional attention to detail, exemplary planning skills, as well as the ability to handle confidential information with the utmost discretion and professionalism. This role requires a highly resourceful individual with a strong work ethic and a laser focus ability to anticipate the President's needs. As an ambassador of the President’s office, this role requires the highest level of Presidential professional standards and a deep commitment to our Jesuit, Catholic mission. The ideal candidate would have a vocational passion for organization, highly-detailed planning, and accuracy.  A positive, resilient, “can-do” attitude is a must!

Responsibilities:

  • Calendar Management: Manage and maintain the President's and Chief of Staff’s highly complex calendar, including scheduling meetings, appointments, and travel arrangements. Proactively resolve scheduling conflicts and prioritize commitments.
  • Logistics Management: Manage all “360” details surrounding the President’s and Chief of Staff day-to-day engagements-both internal and external to campus. This will occasionally include support outside normal business hours.
  • Daily Executive care: Maintain and ensure seamless execution on presidential protocols for all presidential operations-including wrap-around executive care to support the President’s day-to-day rigorous schedule.
  • Travel Arrangements: Coordinate all aspects of domestic and international travel, including booking flights, accommodations, ground transportation, and preparing detailed itineraries. Serve as on-call support, when necessary.
  • Document Preparation: Prepare, edit, and proofread correspondence, reports, presentations, and other documents with accuracy and attention to detail.
  • Project Support: Assist with special projects and initiatives related to presidential operations as assigned by the Chief of Staff.
  • Other Duties: Perform other administrative and executive support duties as assigned by the Chief of Staff to ensure the President's optimal effectiveness.

Qualifications:

  • Bachelor's degree.
  • 5+ years of experience supporting a C-level executive
  • Proven experience in exceptionally managing complex calendars, travel arrangements, and meeting logistics.
  • Strong written and verbal communication skills, including strong grammar, spelling, and proofreading abilities.
  • High proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, Outlook and Microsoft Teams.
  • Exceptionally strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
