Xavier University’s College of Arts and Sciences (CAS) is seeking a CAS Dean’s Office Operations Coordinator to provide administrative budgetary, clerical, and event support.  The ideal candidate will be an adaptable problem-solver with excellent communication skills and impeccable attention to detail.  The ability to multitask and work with diverse populations is essential to the position. 

JOB RESPONSIBILITIES: 

  • Serves as a college liaison for the Dean’s Office and coordinates college-wide strategic initiatives.
  • Provides administrative and budgetary support and oversight for the college’s faculty-led Study Abroad program.
  • Coordinates and monitors multiple calendars.
  • Serves in the role of Building Coordinator for Alter Hall.
  • Provides administrative support to CAS departments and serves as a liaison to onboard new faculty.
  • Monitors and manages multiple departments within the College of Arts and Sciences.
  • Serve as the primary buyer for Xavier’s e-Procurement system purchases for the Deans’ Office and serves as a backup buyer to the college’s academic departments. Prepares forms necessary for completing miscellaneous financial transactions in support of all areas.
  • Provide backup operational support to academic departments to include assistance with hiring needs, reporting, website updates and responding to student and faculty inquiries.
  • Assists in the building, editing, and updating of course schedules

JOB REQUIREMENTS: 

  • High School Diploma or equivalent.  Bachelor’s Degree preferred
  • Minimum 1-3 years of administrative experience
  • A demonstrated skill within Microsoft Office programs, including high proficiency with Excel
  • Excellent customer service skills
  • Ability to master and organize details
  • Ability to work both independently and collaboratively
  • Effectively prioritizes tasks to manage multiple project

Preferred Qualifications and Experience:

  • Experience with Banner, UniMarket (or other e-Procurement systems)
  • Experience in academic organizations
