Xavier University’s Office of Enrollment Systems invites applications for the Director of Enrollment Systems, who plays a critical leadership role in managing and optimizing the university’s CRM (Technolutions Slate) and enrollment technology ecosystem. This position oversees the Undergraduate, Graduate, and Re-recruitment Slate instances, ensuring they effectively support recruitment, admission, and retention strategies. This position reports to the Executive Director, Prospect Management & Recruitment Operations, Enrollment Management. The position has the option to be fully remote or hybrid from Xavier’s campus in Cincinnati, OH.
Duties and Responsibilities:
Strategic Leadership & Campus Collaboration:
- Plays a critical leadership role in managing and optimizing the university’s CRM (Technolutions Slate) and enrollment technology ecosystem. This position oversees the Undergraduate, Graduate, and Re-recruitment Slate instances, ensuring they effectively support recruitment, admission, and retention strategies.
- Leading a team of three, this position is responsible for the strategic oversight, configuration, and continuous improvement of Slate to enhance efficiency, data integrity, and user experience. They will provide high-level project management, delegate responsibilities, and mentor their team to execute system enhancements, reporting, and automation initiatives.
- Collaborate closely with Strategic Enrollment Management leadership, IT, Marketing, and institutional partners to align system capabilities with institutional goals. This role requires a deep understanding of CRM best practices, enrollment operations, and data-driven decision-making to drive innovation and optimize the prospective student and applicant experience.
- Provide vision and direction for the effective use of Slate across Undergraduate, Graduate, and Re-recruitment efforts.
- Build and maintain relationships with key campus partners, including IT, Institutional Research, Marketing, Financial Aid, and Student Affairs, to ensure enrollment systems align with institutional goals.
- Develop and implement best practices for CRM usage, data management, and communication workflows across campus stakeholders.
- Develop and implement processes and documentation for quality control and data standards.
- Offer education, training, and resources to internal teams and campus partners, ensuring they can effectively use Slate to support their goals.
Project Management & Team Leadership:
- Oversee and prioritize projects related to Slate functionality, enhancements, and system integrations.
- Delegate tasks to the enrollment systems team, ensuring efficient workflow and timely project completion.
- Provide mentorship and professional development opportunities for the team, fostering expertise in Slate and enrollment technology.
- Ensure documentation of processes and projects to support long-term sustainability and knowledge transfer, as well as business continuity.
Troubleshooting & Problem Solving:
- Serve as the escalation point for system-related issues, providing guidance and troubleshooting support to the team.
- Analyze and resolve technical challenges, data discrepancies, and user-reported issues within Slate.
- Collaborate with IT and Slate support teams to implement solutions for system bugs, process inefficiencies, and functionality improvements.
Data Integration & System Integrity:
- Monitor system performance, ensuring smooth day-to-day operations for all users.
- Oversee the successful and accurate transfer of data between Slate and Banner, ensuring proper mapping and system alignment.
- Work closely with IT and Institutional Research to maintain data integrity, troubleshoot errors, and optimize workflows between Slate and Banner.
- Ensure compliance with data security standards and university policies related to student records and enrollment data.
- Regularly audit data feeds, troubleshoot discrepancies, and implement enhancements to improve data reliability and reporting accuracy.
Data Custodian Role:
- Serves in the role of data custodian, representing Strategic Enrollment Management for the University-wide data custodian committee.
- Operates and implements data integrity and enterprise-level data management technology standards in order to strengthen enrollment systems technical functionalities and performance.
- Takes part in any University-wide data custodian projects as needed by the data custodian committee.
- Complete other duties as assigned by supervisor.
Qualifications and Experience:
Required:
- Attentive to detail and have the ability to function in a multi-tasked environment
- Excellent written and verbal communication skills
- Ability to work collaboratively with a diverse community of students, faculty, and other staff members
- Bachelor's degree
- Three to five years of related work experience
Preferred:
- Master's degree preferred, in Management Information Systems, Information Technology or Computer Science
- High Proficiency with Technolutions Slate CRM
