Xavier University’s Division of Financial Administration is seeking a Director, Accounting Operations. The role supervises a team of approximately seven (7) employees. The Director’s primary focus is on the development, improvement, communication, training, implementation, monitoring, and control of accounting, internal control, and financial reporting functions and processes. The Director advises the Finance team on accounting, internal control and audit issues. The Director develops policies, procedures, and systems that foster responsible use of funds, sound accounting, strong internal controls, and efficient, user-friendly business practices. The Director is responsible for implementing and communicating approved policies and procedures and facilitating their use. The Director of Accounting Operations has primary university-wide responsibility for developing and maintaining a sound internal control environment.
JOB RESPONSIBILITIES - includes but not limited to:
Accounting and associated functions:
- Develops written recommendations and file memos for review and approval by AVP Financial Operations and CFO regarding management estimates, application of GAAP, and internal accounting procedures and controls
- Oversees the accounting function ensuring the design of an organizational structure adequate for achieving the department's goals and objectives. Assigns and monitors tasks, reviews work for accuracy and completeness, and provides training as necessary.
- Oversees monthly close and prepares Statement of Financial Position, Statement of Activities, Statement of Cash Flow, and footnotes in accordance with GAAP and supported by auditable schedules and analysis.
- Leads and oversees continual improvements to accounting systems, processes, and execution to make reports increasingly timely and informational for decisions by management and other users as well as to improve efficiencies and effectiveness for users and for the accounting office
- Oversees and improves data/ERP systems to support evolving accounting and reporting needs and to improve internal controls. Recommends standards and protocol for access to financial data by university users and oversees/maintains/authorizes individual data access levels within the standards and protocol framework approved by the CFO.
Internal Controls/Policies & Procedures
- Seeks and implements opportunities to increase effectiveness of the University-wide internal control policies and procedures by developing, implementing, and maintaining improved systems and processes. Analyzes existing internal control policies and procedures and researches best practices.
- Oversees and improves the control structure associated with funds/org and all associated components including authorized signatories, coding details, restrictions and designations, etc. Develops and documents a robust control system for management of funds/orgs to facilitate accounting, internal controls, and fulfilment of fiduciary responsibilities university-wide.
External Audit
- Acts as the primary coordinator and resource to auditors during the annual financial audit and all other external audits.
- Communicates regularly with the AVP of Financial Operations and CFO on the status of the audits and any emerging issues. Refers financial statement matters of judgment and substance to the AVP of Financial Operations and CFO for decision-making.
JOB REQUIREMENTS:
- At least 5 years of increasingly responsible professional experience and management in Higher Education or similar institutions required.
- Bachelor’s degree in Accounting, Finance or related field required, active CPA License or MBA preferred
- Knowledge of GAAP accounting standards related to private universities and federal, state, and local laws and regulations are strongly preferred.
- Effective leader and manager with demonstrated ability to mentor subordinates.
- Exceptional interpersonal, written and verbal communication skills, and strong presentation skills.
- Demonstrated ability to build strong, collegial relationships across all levels of the organization and lead all effective work groups.
- Represent the University at professional organizations, conferences and University-sponsored functions.
- Possess excellent problem-solving, analytical and business skills, and strong project management skills to meet deadlines and work effectively with others.
- Demonstrated ability to present complex financial issues to Board of Trustees, Senior Administration, Deans and Directors
- Proficient in complex accounting systems and possess strong understanding of the use and potential of technology in the area of financial management.
