Xavier University’s College of Arts and Sciences (CAS) Dean’s Office is seeking an outstanding contributor to join our highly collaborative and diverse team in the role of Operations Specialist. The Operations Specialist will administer financial and reporting processes including support for departmental budgets and faculty payroll and oversees database management for the Dean’s Office databases and college-level reporting. This role provides administrative and purchasing guidance and support to all college constituents and serves as a resource to all CAS administrative support staff. The position reports to the CAS Assistant Dean of College Operations.

JOB RESPONSIBILITIES:

·        Provides guidance and administrative support to chairs and departmental administrative support staff for managing departmental budgets and purchasing.

·        Serves as the college’s payroll liaison and collaborates with the college’s departments to facilitate and ensure timely and accurate completion of faculty payroll processes.

·        Provides ongoing assessment, updates, and management of college-level data storage.  

·        Manages the timely completion of the college’s regular required reports, including the process of academic program reviews, and provides logistical support for events.

·        Provides administrative support related to faculty and staff hires.

·        Maintains currency with all University systems and policies to serve as a resource and to provide guidance and troubleshooting for all CAS administrative support staff.

·        Provides administrative and financial onboarding for new CAS administrative support staff.

·        Fosters collaboration and professional development among CAS administrative support staff through convening regular meetings and dissemination of information regarding CAS administrative functions.

·        Independently prioritizes and balances work on on-going duties, recurring events, and special projects.

JOB REQUIREMENTS:

·        Bachelor’s degree required. At least 5 years in a similar role with comparable goals and responsibilities can be considered in lieu of a Bachelor’s Degree

·        Proficient in Microsoft Office, with aptitude and willingness to learn new software and systems

·        Excellent writing and analytical skills required

·        Budget management and payroll experience highly desirable

·        Ability to adapt to a changing environment and handle multiple priorities

·        Ability to foster ongoing collaboration among a diverse set of constituents
