THE ROLE
The Executive Integration Manager (EIM) oversees the executive administrative team, providing support to the CEO in achieving organizational goals. Responsibilities include facilitating leadership collaboration, managing key communications, overseeing project follow-ups, and coordinating cross-functional initiatives. This role requires proactive planning and strong verbal and written communication skills. The EIM plays a critical role in maintaining operational efficiency, assisting executive leadership, and ensuring the delivery of organizational objectives. EIM would ensure strategic schedule planning, optimal use of time, and timely follow-ups. This position includes one direct report.
Where You Come In
As the Executive Integration Manager you will:
- Ensure the CEO receives detailed briefing materials and talking points for executive leadership.
- Handle sensitive and confidential information with discretion.
- Attend leadership meetings and follow up on action items.
- Manage the execution of public relations, communications, and social media for the CEO.
- Ensures all CEO leads are promptly updated in Salesforce to efficiently manage, track, and maintain the CEO's portfolio, ensuring accurate information to support strategic decision-making and relationship management.
- Responsible for the overall management and prioritization of the CEO's schedule and calendar with the CEO Executive Assistant
- Assist with event and meeting planning and execution, including but not limited to board meetings, leadership summits, and the CommUNITY Conference.
- Coordinate with the MAWA Corporate Secretary for managing board processes and documents.
- Coordinate with MAW EAs and AAs to build cross-functional relationships
- Assist in developing and monitoring the CEO's discretionary budget in collaboration with Finance.
- CEO and ELT communications align with strategic objectives and are effectively cascaded throughout the organization in coordination with the internal communication director.
- Manage the execution of the CEO & Executive Leadership communication plan with the internal communications director.
- Serve as a communication liaison between executive leadership, internal teams, and external stakeholders.
- Oversee all Board communications and prepare board reports and presentations.
- Coordinate internal and external communications, including CEO preparation for speaking engagements, external meeting follow-up, and preparation.
- Update all CEO presentations with the latest internal and external research, data, and best practices in collaboration with the Strategy team and strategic plan.
- Support the CEO with long-term strategies and initiatives.
- Coordinate leadership discussions and offer actionable recommendations.
- Lead follow-up actions and ensure alignment across the executive leadership team after meetings.
- Inform the CEO of internal data to promote collaboration across departments and align with organizational priorities. Advise on barriers or best practices observed.
- Ensure the CEO is updated on initiative progress, identifying areas for growth and improvement.
- Coordinate and follow up on cross-functional projects assigned by the CEO, ensuring alignment with strategic objectives.
- Develop project plans, resolve roadblocks, and ensure timely execution.
- collaboration on cross-functional initiatives with key stakeholders.
What You’ll Need
- Bachelor's degree in business, nonprofit administration, or related fields preferred or equivalent experience
- MAWA experience required
- 5+ years of overall work experience
- 2+ years executive support and coordination, preferably in a nonprofit
- Ability to handle multiple tasks and meet deadlines in a fast-paced environment
- Strong interpersonal skills for building professional relationships
- Maintain confidentiality with stakeholders
- Exceptional verbal and written communication skills
- Ability to lead projects and work independently
- Systems Experience: Proficient in Microsoft Office (Word, Excel, PowerPoint); experience with Salesforce is preferred
- High ethical standards
- Position may require travel to organizational conferences and events.
