THE TEAM   

Make-A-Wish America is the national headquarters for our organization, providing resources and support for our Chapters around the country. The Finance Team is focused on supporting our chapters through a shared financial services model, providing chapters with financial processing, reporting, and tax filings. They also maintain the financial health of the national office through budgeting, monthly reporting, accounting, reconciliations, and payables.  

 

THE ROLE   

The Finance and IT Senior Administrative Assistant is a key contributor to the mission by providing support to key executives on a wide variety of projects and initiatives. Performs duties such as meeting planning and coordination, committee and task force support, project tracking and deadline management, conducting research and drafting reports, travel coordination and general communications with internal and external constituents.

 

Where You Come In 

As the Senior Administrative Admin, Finance & IT you will:    

  • Act as primary administrative support for the Finance and IT teams. Periodically may be called upon to assist other team members and departments.
  • General administrative duties include meeting scheduling and coordination, travel arrangements, expense reports, preparing presentations, creating documents, managing correspondence, facilitating communications with internal and external stakeholders, trouble-shooting various issues, and managing daily workflows.
  • Provide administrative support for assigned national committees and task forces, including scheduling meetings, creating agendas and support materials, preparing minutes, drafting official correspondence, maintaining records, and developing reports.
  • Maintain calendars, files and records for the teams and assigned committees.
  • Conduct research, prepare various reports, and support special projects as needed.
  • Develop and manage project tracking systems utilizing the Microsoft suite, SmartSheet, and other tools.
  • Perform other job-related duties, as assigned.

 

What You’ll Need  

  • High school diploma or general education degree (GED) required; Bachelor’s degree in business, nonprofit management, liberal arts or related field preferred
  • 3-5 years administrative or professional experience preferred
  • Must have versatile skills utilizing a variety of computer programs/software, with advanced knowledge of Microsoft Word, Outlook, Excel, PowerPoint and Adobe Acrobat programs. Experience with SmartSheet or comparable project management software is a plus
  • Working knowledge of nonprofit organizations is helpful
  • Position may require travel to organizational conferences and events.
