Westwood Professional Services, Inc. is seeking A Project Assistant (PA) for the Land Division in our San Antonio, Texas office.  A Project Assistant (PA) is responsible for data integrity, document management, and best practice implementation on projects, and supporting the project team. The PA supports Project Managers in the success of the project through the administrative/professional side of project management and is the subject matter expert for Land Division systems and processes. Project support may be billable projects or non-billable projects.

The San Antonio Project Assistant will also support office duties as an office administrator. This role will be responsible for providing oversight to the day-to-day administrative operations of the office. Facilitate and deliver on a variety of administrative services. Assure that the office is functioning in a healthy, productive manner

 

 

 

Job Purpose:

Support the lifecycle of Land Division projects and office administration tasks. Implements goals and processes for the Land Division as set by the strategic plan and leadership. 

Responsibilities, including but not limited to:

  • Coordination between Division leadership and Project Managers for support with contracts, branded material, and prequalifications.
  • Coordinate production of proposals based on direction from Project Managers
  • Coordinate production of project reports based on direction from Project Managers
  • Support brand advocacy including review proposals and reports for correct formatting and branding
  • Proofread proposal and reports for consistency and grammar
  • Develop or modify branded material for reports, proposals, work orders, task orders, and statements of qualification
  • Assist Project Managers with conference calls, meetings, documentation and follow up (both internal and external)
  • Coordinate agency and client submittals
  • Provide document backup and support for invoicing and collections
  • Data management within the Deltek Vision database system, including project tracking and reporting
  • Support Professional staff with licensure efforts and state compliance requirements
  • Prepare, monitor, and manage variable expense budgets for the office (ex: office supplies, employee relations, etc.)
  • Support staff onboarding experience
  • Event coordination within the office
  • Welcome and create a tone of professionalism for office visitors (employees, clients, vendors, etc.)
  • Facilitate IT service and support for the office such as shipping and supply orders
  • Monitor office space and seating status working with division leadership

Required Experience

 

  • Bachelor’s degree preferred or equivalent job-related experiences and training.
  • Effective written communication is necessary and past experience with the land development industry is a plus
  • Adapt to ever-changing work environments
  • Detail orientated and strong organizational skills
  • Capacity to independently manage multiple projects/assignments, determine and set job priorities, and work with limited/direct supervision Ability to communicate effectively with employees at all levels of the organization.
  • Proficiency with Microsoft Office Suite
  • Experience working in a professional services environment
