GENERAL SUMMARY

The Event Coordinator under the direct supervision of the Environmental Coordinator will structure and maintain Viejas’ reputation for memorable events by managing the production from concept through completion of the Tribal EPA Conference for October 2023 and October 2024. This role requires knowledge of events, meetings, and conference planning, including cost containment, venue scouting, equipment logistics, room setup, knowledge of Tribal environmental programs goals and objectives.

 

CORE SCOPE OF POSITION

  • Manage all aspects of event planning meeting strict deadlines and budget demands
  • Nurture and build relationships with vendors, venues, and other industry contacts to craft and implement creative and logistical aspects of all events.
  • Stay current, and often ahead of the curve, on event planning, design, and production trends, proactively identifying and solving operational challenges
  • Coordinate with internal staff, clients, vendors, and others to establish needs for events, and serve as liaison to senior level staff
  • Research resources, make site visits, and lead pre-event meetings when necessary to help staff make decisions about event design
  • Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, security, catering, entertainment, transportation, equipment, decor, and marketing material
  • Oversee client experiences from conception through post-event, managing on-site preparations, production, and event breakdown, ensuring consistent, high-level service throughout all phase.
  • Conducts and participates in community presentations, forum, and education activities.
  • Maintain and build a comprehensive database of industry contacts, vendors, and venues
  • Strong interpersonal and communication skills

  • Ability to handle pressure and make split-second decision
  • Maintains all related files in a neat and orderly condition at all times.
  • Ensures files contain all pertinent documentation and information, including support documentation, correspondence, fiscal budgets and notifications.
  • Performs a variety of clerical duties, such as composing and preparing documents, correspondence and quarterly reports, creating forms, faxing, copying, and filing.
  • Takes meeting minutes and maintains attendance logs, notifies appropriate stakeholders of upcoming meetings through mail, e-mail, and telephone.
  • Screens incoming phone calls and routes to appropriate team member.
  • Prepares check requests and tracks expenses.
  • Complies with and follows departmental policies and standard operating procedures, and any applicable governmental laws and regulations.
  • Ensures that a clean, safe, hazard-free work environment is maintained.
  • Maintains the highest level of confidentiality, impartiality, and reliability.
  • Performs all other duties as assigned.

  • Works with the allied agencies, internal and external stakeholders, vendors, exhibitors, clients, and attendees.

 

SUPERVISION

  • Does not provide supervision to others.

Required Skills

KNOWLEDGE AND SKILLS

  • Knowledge of methods, materials, and equipment used in the operation and maintenance of environmental monitoring system.
  • Knowledge of environmental issues, laws, and regulations applicable to compliance and protection.
  • Knowledge of definitions and classifications of hazardous waste and materials plus their handling and tracking.
  • Knowledge of principles of business letter writing, report preparation, technical research and method of data analysis.
  • Knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and other computer programs.
  • Detail-oriented, organized, self-motivated, and values teamwork.
  • Good mathematical skills (i.e. calculate volume, pressure, quantities and qualities).
  • Ability to operate a personal computer and safely operate a vehicle.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to prepare and conduct presentations to individuals and large groups.
  • Ability to exercise sound judgment in making recommendations.
  • Ability to establish and maintain effective working relationships with those contacted in the course of work.
  • Ability to work independently and maintain a high degree of confidentiality.
  • Ability to review official documents such as grants, regulations, technical specifications, environmental documents, ordinance and statues, P&P’s, and legal terminology.
  • Ability to multitask and work in a fast-paced, deadline-oriented environment.

Required Experience

PREFERED QUALIFICATIONS

  • High school diploma or General education degree (GED) required.
  • Associate degree or greater in Event Management or related discipline or Experience organize large gatherings within Tribal Communities
  • Experience in marketing or public relations developing beneficial connections
  • Flexibility to travel
  • Possession of a valid California Class C Driver’s License and a satisfactory driving record.
