Faculty Governance and Communication Specialist
Administrative Staff
Position Description:
This position manages and supports activities for the Office of the Provost related to faculty governance and communication. This position ensures that faculty and academic units are well informed about the policies, practices, and resources needed to support the University's academic functions.
Major Responsibilities:
- Assists with the processing, evaluation, and development of campus-wide communication related to academic and faculty concerns
- Assists and supports various faculty governance committees
- Compiles budget reports and analysis from an enterprise system
- Prepares and updates the Faculty Meeting and Event Calendar
- Develops and maintains policy and procedure documentation
- For academic affairs
- For faculty governance committees
- Implements revisions to the faculty handbook and other governance documents from academic affairs
Event Planning
- Coordinates logistics for Provost Office events, including faculty meetings, Gaudeamus, workshops, and related activities.
Human Resources
- Supports the Assistant/Associate Provost(s) in the management of direct reporting relationships and other administrative needs
- Supports the administrative needs of the Center for Innovation of Teaching and Learning and the Office of Sponsored and Student Research
- Supervises student aides
Website and Digital Presence
- Coordinates content maintenance of websites, social media, and/or blogs
- Manages campus-wide communications for academic affairs (EMMA platform)
Accounting
- Manages internal grant process (applications, reimbursement, reporting)
- Provides periodic reports and updates of remaining balances and anticipated expenses for direct reporting relationships and internal grant recipients
Other Duties
- Facilitates confidential and sensitive communication with and on behalf of the Associate/Assistant Provost(s)
- Assist office management and coverage, as needed, for the Executive Assistant to the Provost
- Provide administrative support for special projects, as needed
Required Knowledge and Skills:
- Bachelor's Degree Required
- Three or more years of experience in an office setting is required. Academic office experience is preferred. Professional writing or editing experience is also preferred.
Other Qualifications:
- Strong interpersonal and communication skills, including the ability to work effectively with a wide range of constituencies in a diverse community with diplomacy
- Writes in a precise, well-organized manner using appropriate vocabulary, grammar, and spelling
- Excellent editing skills
- Organizing and coordinating skills
- Experience with multi-unit coordination
- Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures
- Conflict resolution and/or mediation skills
- Intermediate word processing, spreadsheet, and data entry skills
- Ability to create Google Forms and collect and summarize data
- Familiarity with website software (WordPress)
- Ability to maintain strict confidentiality of sensitive matters and documents
- Ability to identify opportunities to improve existing practices; willingness to explore alternatives; adaptability
- Ability to anticipate office needs and act proactively when possible
- Ability to respond to and address unanticipated and complex issues
- Strong service orientation
- Ability to foster a cooperative work environment
- Ability to use independent judgment and to manage and impart confidential information
Salary
- $44,000 - $46,000
