TITLE:                          Office Manager, Human Resources

POSITION NO:             P02852

DIVISION:                     Human Resources

HIRING SALARY:          $27,241.00 - $43,753.16 annually; all salary calculations to start at the minimum salary and will be commensurate to experience.

HOURS:                         8 A.M. ‑ 5 P.M., Monday – Friday, some evenings may be required

MAJOR FUNCTION: The Office Manager is located in Human Resources and will report to the Director. The Office Manager will be directly responsible for providing administrative support and assistance to the HR management team in serving TCC’s employees. 

Primary duties will include, but are not limit to:

  • Assist the Director with the day to day administrative duties such as scheduling meetings and trainings, maintains HR Office calendar, coordinates travel; oversees the department’s budget, creates invoices, purchase orders; orders office supplies and tracks inventory. Provides administrative support and assistance to the HR management team. Assists with the coordination and facilitation of the College’s New Employee Orientation program and other training programs as needed.
  • Responsible for coordinating all public record requests related to Human Resource documents. Serves as HR’s Record Custodian and monitors requests for information. Periodically reviews the record deposition schedule to ensure all HR records are being handled in accordance with the schedule.
  • Coordinates, trains, supervises and evaluates the workload of support staff; coordinates special events and activities; prepares comprehensive reports for the District Board of Trustees, Executive Team and Human Resources management.
  • Assists with monitoring the College’s incident reports and coordinates care with providers as needed. Works with the College’s Risk Manager to coordinate requests for information and data.
  • Tracks and monitors annual employee training such as Clery, Bloodborne Pathogens and other required training programs. Serves as a member of the College’s Clery Committee.

MINIMUM TRAINING/EXPERIENCE:  Graduation from a standard high school or equivalency diploma and four years of progressively responsible secretarial and/or clerical experience of which one year must have been at a supervisory level; or an equivalent combination of education and experience.

Excellent interpersonal skills, demonstrated positive customer service skills, and ability to relate to people of varying ages and backgrounds. Good organization skills and attention to details and accuracy. Ability to supervise staff. Ability to work with a wide range of individuals (students, staff, faculty, public). Ability to follow verbal and written instructions. Ability to organize work and coordinate assignments. Ability to work efficiently in a busy environment with many interruptions. Ability to meet inflexible deadlines. Ability to communicate with the public, employees, and students in a positive manner. Ability to show discretion and use good judgment in handling confidential matters. Ability to exhibit excellent human relation skills. Ability to use good judgment and work independently with limited supervision and use of initiative in completing assignments. Ability to maintain confidentiality and handle sensitive issues. Ability to create a positive impression of Human Resources and College while responding to customers either by telephone or in person. Ability to organize, schedule and utilize time well. Ability to function independently in a multi-task environment, as well as part of a team. Ability to work under pressure on a variety of projects simultaneously. Ability to assist as needed to answer phone, direct calls, perform standard office tasks and operate standard office equipment. Ability to remain calm and composed when dealing with distraught people. Ability to communicate clearly to avoid confusion and misunderstanding with others.
