HIRING SALARY:       $26,193.00 – $28,686.60 annually; all salary calculations to start at the minimum salary 

HOURS:                      8:00 A.M. – 5:00 P.M., Monday - Friday

MAJOR FUNCTION:  The Staff Assistant is housed within the Advanced Manufacturing and Training Center (AMTC) and reports directly to the AMTC Program Manager. The Staff Assistant performs advanced clerical/secretarial and administrative support functions of considerable variety and complexity, requiring exercising considerable judgment and initiative in completing assignments for a director, department head, or coordinator. 

Primary duties will include, but are not limited to

  • Provides administrative support for the Program Manager of the Advanced Manufacturing Training Center. Coordinates work efforts with staff members and supervisors to ensure the timeliness and accuracy of key department projects. Assists students with registration processes via walk-in, Email, phone, or fax. 
  • Provides reception duties such as answering inquiries from Vice President, Director, Manager, Specialist, the general public, students, and businesses. Responsible for creating the center calendar based on center needs, appointments, meetings, events, employee schedules, tours and or conferences. Answers multi-line telephone system, greets guests, responds to voicemails and emails quickly, and routes calls and mail to appropriate staff members. Performs general typing and administrative assignments to include but not limited to drafting and completing a variety of correspondence such as letters, report and emails. Updates department website with necessary course information and program changes as directed. Manages office inventories of supplies and maintain common office areas. 
  • Conducts outreach for students and businesses. Collaborates with students on their status by accessing Workday and reporting those statuses to students attempting to enroll in courses. 
  • Assists in planning and execution of departmental meetings and training. Prepares agendas, distribute materials before an event, record and distribute minutes, and creates mailing lists with participant information. 

MINIMUM TRAINING/EXPERIENCE:  Graduation from high school (standard high school or equivalency diploma) and four (4) years of secretarial and/or clerical experience; or an equivalent combination of education and experience.   

SUCCESSFUL APPLICANTS WILL DEMONSTRATE THE FOLLOWING:  Knowledge of advanced manufacturing equipment, skills, and industry; Workforce and economic development practices, as well as FERPA; Windows operating system and Microsoft Office suite (i.e. Word, Excel, Outlook, PowerPoint, etc.); Basic research methods and techniques, including internet research.  Knowledge of conferences and facilities / events management; Social media and the ability to manage social media platforms (blogs, etc.). Operating a personal computer for word processing and information gathering; Time management and punctuality. Organization of written documents and proofreading, to include correct English language and grammar.  Interpret and apply a variety of rules, regulations, statues, policies, and procedures. Accurately prepare and finalize detailed data reports and documents, of varying complexity levels, with minimal supervision; Type a variety of correspondence, memoranda, reports, statistical analyses, and other materials. Perform a variety of complex, difficult and multifaceted administrative support duties, requiring significant follow-up, follow through, and attention to detail; Draft and type a variety of correspondence, memoranda, reports, statistical analyses, and other materials. Handle highly confidential material, correspondence, and student related documents. Communicate effectively verbally, and in writing, with others. Multi-task, especially with constant interruptions. Handle a large variety of details and to work with all levels of the organization. Plan and coordinate work flow in an efficient manner. Work with a minimal amount of supervision. Exercise good judgment and analyze situations to determine the appropriate course of action. Prepare and maintain accurate and complete records and files. Use and troubleshoot a photocopier, facsimile, telephone, and other office equipment. Work well under pressure and remain calm in stressful situations. Demonstrate understanding of, sensitivity to, and respect for the diverse academic, socioeconomic, cultural, disability and ethnic backgrounds of TCC’s students, faculty, staff, and community to communicate with all in a tactful and professional manner. Work both independently and cooperatively and with others, as a member of a team. Handle multi-line telephone systems and demonstrate proper telephone etiquette. 

And willingness to perform any and all reasonable duties and tasks as deemed necessary by circumstances.
