The Post Office Team Lead supports the goals and daily operations of the Stetson University Post Office. Serving as a member of the Post Office Team, the Team Lead position will ensure the campus Post Office operates in conformance with all USPS standards. In alignment with Stetson’s Strategic Priorities, the Team Lead will provide a positive customer service experience for faculty, staff, students, and outside customers assisting with all postage/mailing needs.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:  Employment duties will include, but not be limited to:

  • Ensure the University post office operates in conformance with the USPS standards
  • Supervise all student workers, creating/adjusting schedules to assure coverage at front window
  • Participate in the sorting of incoming mail from the DeLand Post Office - separating department mail and student mail
  • Input all student mail (by campus box number) in package tracking system that will email students
  • Assure provision of complete postal window service (sale of postage, postcards, envelopes, etc.) plus information and facilitation of first through fourth class regular mail, media, library, bulk, express, registered, insured and certified special mail services to all domestic and international locations
  • Participate in the sorting and distribution of all incoming/outgoing parcels from Amazon, UPS, FedEx, DHL, etc.
  • Mark each package with department name or student campus box number and input into package tracking system; place department packages on designated areas; file student packages according to their campus box number
  • Oversee the daily campus mail/package delivery - including morning deliveries and limited afternoon deliveries/pick ups
  • Collect, weight, determine proper classification and affix postage to outgoing mail, utilizing electronic automated mail processing equipment
  • Remain current on all mailing and shipping standards for USPS, FedEx, UPS, OHL, etc. to assure compliance
  • Responsible for accuracy and security of stamp stock and cash drawer, including reconciliation of stock and cash
  • Make deposits to Finance office
  • Responsible for daily receipts for chargebacks generated by departments
  • On a continual basis, maintain updated mailing lists of students, faculty, and staff
  • Issue campus box assignments to new students, maintain and update records
  • Perform other site and position specific functions as assigned by supervisor

Required Skills

  • Knowledge of all USPS rules and regulations

Required Experience

  • High School diploma
  • A minimum of two (2) years’ experience in postal services operations

 Must possess and maintain a valid driver’s license and an acceptable driving record as determined by the University’s auto insurance carrier.

Ideal Candidate Qualifications:

  • Good working knowledge of Microsoft Office software
  • Effective written and oral skills
  • Abide by, and comply with, University policies and procedures

Work Environment: Duties require the regular, and at times, sustained performance of heavier physical tasks, such as walking over rough and uneven surfaces, bending, stooping, and lifting or carrying moderately heavy items (20-50 lbs.) and occasionally heavier items (51-100 lbs) with assistance. Role also involves frequent use of hand trucks, dollies, and carts to load/unload deliveries.
