Specific Job Title: Director of Fiscal and Administrative Affairs

Reports to: Dean, St. John's College

Job Summary:

The Director, Fiscal and Administrative Affairs, provides leadership and vision to support St. John's University’s (SJU) strategic priorities designed to support the mission of SJU as a Catholic, Vincentian, Metropolitan, and Global University. The Director reports directly to the Dean of St. John's College of Liberal Arts & Sciences. This position is responsible for overseeing the College's financial position, overseeing the College's staffing, including the new hire process (faculty, staff, & administrators), and overseeing the College's space needs, including equipment, safety, and facilities issues, while ensuring effective fiscal management and alignment with the University's strategic priorities. The Director also ensures fiscal accountability and operational efficiency in support of St. John's College of Liberal Arts & Sciences' academic and strategic mission.

 

Essential Functions:

  • Work with the Dean and the College's three (3) Associate Deans for Undergraduate, Graduate, and Information Resources to address College-related financial, space, facilities, technology, safety, and personnel issues as they arise.
  • Work directly with the Provost's Office relating to fiscal and academic matters
  • Manage, advise, coordinate, and implement the College's 29 departmental operating budgets in conjunction with the department chairs/directors, ensuring effective fiscal management.
  • Lead the college's annual budget development process, including forecasting, monitoring, and reporting on operating, endowment, and grant funds.
  • Prepare financial reports and presentations for internal and external stakeholders.
  • Support strategic initiatives, including accreditation, strategic planning, and special projects.
  • Manage and coordinate all other college-related funding sources, restricted, donation, capital, and one-time accounts.
  • Facilitate the development of the College's annual operating budget of approximately $63 million.
  • Ensure the development of the College's annual space & capital plan.
  • Enable the development of the College's annual teaching/research infrastructure equipment plan.
  • Create strategies and planning tools to analyze information and assist the College in making informed decisions regarding resource and personnel allocations in both the short-term and long-term, aligning with strategic priorities.
  • Function as the College liaison with HR (new/replacement hires), Payroll (salary issues/processes), Business Affairs (financial matters/budgets/payments), Institutional Advancement (Donations), Design & Construction (space renovations/construction/moves), and Facilities (maintenance issues).
  • Direct the hiring process for staff, administrators, full-time, and part-time faculty.  
  • Prepare & submit fiscal and management reports as requested by the Dean, Business Affairs, and the Office of the Provost.
  • Work with the Dean & Associate Deans on new program development.
  • Conduct the establishment of the College's donation resources with Business Affairs and Institutional Advancement and manage expenses.
  • Manage the day-to-day operations of the Dean's office.
  • Supervise the Budget and Planning Coordinator and the College's departmental staff members.

  • Supervision of the Budget and Planning Coordinator.

 

Work Environment:

  • Office environment with frequent interaction with faculty, staff, and university administrators.
  • Occasional extended hours or weekend work may be required.
  • This position operates in a professional office environment. The role routinely utilizes standard office equipment, including computers, printers, copiers, phones, and filing systems.

 

Physical Demands:

The physical demands would be typical of a typical office environment, with employees required to sit for extended periods at a computer. Communicate by phone/Microsoft Teams, and email with various departments and outside vendors.

 

Environmental Conditions:

On occasion, this position requires the ability to work in an outdoor environment and in crowded spaces (Commencement, public events, etc.).

 

Position Type/Expected Hours of Work:

This is a full-time in-person position. Standard work hours are Monday through Friday, 8:30 a.m.to 4:30 p.m. Longer hours may be required to meet deadlines, as necessary.

 

Required Education and Experience:

  • Master's degree in Accounting, Finance, or related field.
  • At least 7+ years of managerial experience; prior higher education experience beneficial.
  • Proficiency with the Microsoft Office suite, particularly Microsoft Excel, OneDrive, & Teams.
  • Experience supervising staff and managing multi-source budgets.

 

Preferred Education and Experience:

  • Experience with university enterprise systems (e.g., Banner)
  • Knowledge of fund accounting and grant management.

In compliance with NYC’s Pay Transparency Act, the annual salary range for this position is $126,800 - $144,250. St. John’s University considers factors such as (but not limited to) scope and responsibilities of the position, candidate’s work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.
