Department: General Counsel's Office 

Specific Job Title: Legal Services & Compliance Administrator  

Reports to: Vice President & General Counsel 

Campus: Queens 

 

Job Summary:  

The incumbent in this position will manage sensitive and significant matters ranging from litigation management to contract administration and special projects. The individual will exercise a high degree of discretion and independent judgment on matters of significance to ensure the efficient and effective delivery of legal and related services to a broad range of constituencies, ranging from faculty to administrators and executive leadership. The incumbent must demonstrate a high degree of professionalism, autonomy, sound reasoning, problem-solving skills, confidentiality, ownership, and responsibility.  

 

Essential Functions: 

  • Supervise the office workflow, ensuring proper handling and disposition of subpoenas, transcript requests, lawsuits, union grievances, and regulatory complaints.  

  • Manage the office budget, tracking expenses and outside counsel fees and expenses and communicating with outside counsel and vendors to ensure budget discipline and cost control.  

  • Liaise with administrative and academic units to identify, disseminate, and respond to legal queries as appropriate.  

  • Control the calendars of the General Counsel and the Deputy General Counsel to ensure proper resource allocation.  

  • Create, in collaboration with the Office of the President, materials for presentation and/or submission to the Board of Trustees. 

  • Conduct research into legal and regulatory developments in higher education and issues-based legal research. 

  • Oversee the whistleblower hotline and other internal reporting apparatuses to ensure the timely evaluation and handling of relevant issues by the General Counsel and Deputy General Counsel. 

  • Manage office supplies, expense reports, on-site visits, and Information Technology needs.  

  • Develop and maintain the Office of General Counsel website. 

  • Establish and maintain effective filing and organizational systems, both physical and electronic, to store and retrieve corporate documents, records, and reports. 

  • Communicate with the University’s insurance brokers and agents, reviewing and summarizing status reports. 

  • Oversee the proper implementation of the electronic case management and filing system. 

  • Review policies and procedures to help determine compliance with current local, state, or federal law. 

  • Provide administrative support for labor relations, acting as the primary point of contact for collective bargaining questions and inquiries (internal and external).

Work Environment: 

This role operates in a professional office environment with the Office of General Counsel. The position routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and printers. It may also involve occasional interaction with senior leadership, external counsel, and regulatory agencies.  

 

Physical Demands: 

  • Prolonged periods of sitting at a desk and working on a computer. 

  • Occasional lifting of files, boxes, or office supplies (up to 15 pounds). 

  • Manual dexterity required for keyboarding and document handling. 

 

Environmental Conditions: 

The work is performed indoors in a climate-controlled environment with minimal exposure to environmental hazards. Occasional attendance at university meetings or events may be required, with potential exposure to typical campus outdoor conditions. 

 

Position Type/Expected Hours of Work: 

This is a full-time position. Standard work hours are Monday through Friday, 8:30 a.m. to 4:30 p.m. Longer hours may be required to meet deadlines, as necessary 

 

Travel: Limited, local travel. 

 

Education and Experience: 

  • With a bachelor’s degree, a minimum of 5 years of administrative or paralegal experience.  

  • Without a bachelor’s degree, a minimum of 7 years of administrative or paralegal experience. 

  • Demonstrated proficiency in office management.  

  • Experience maintaining confidential information and handling sensitive and substantive matters with independent judgment and discretion. 

  • Ability to research governmental regulations, laws, and legislation. 

  • Aptitude for challenging and intellectually stimulating work. 

 

Preferred Education and Experience: 

  • Paralegal certification or legal administration training. 

  • Experience collaborating with general counsel, attorneys, or executive leadership in a legal or higher education environment. 

  • Familiarity with legal research tools, public records systems, and case management software. 

  • Knowledge of university policies, compliance practices, and governance structures.

In compliance with NYC’s Pay Transparency Act, the annual salary range for this position is $83,600 - $94,050. St. John’s University considers factors such as (but not limited to) scope and responsibilities of the position, candidate’s work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.
