Title: Academic Support Assistant 

Reports to: Radhika R. Jha, Associate Dean of Graduate Studies & Academic Engagement  

Position Supporting: The Chair Division & CCPS Dean's Office 

Campus: Queens Campus 

Job Summary:  

CCPS is looking for a responsible Academic Support Assistant to perform various administrative and clerical tasks to promote and increase student success. The duties of the Academic Support Assistant include providing proactive support to the CCPS Dean's office, department chair, program directors, faculty, and students. The ideal candidate should have strong communication skills, a working knowledge of tools such as MS Office, and standard office equipment with an ability to learn University software programs such as BANNER. In addition to ensuring efficient and smooth day-to-day operations, the Academic Support Assistant will assist in divisional, college, and university events, including the CCPS Award Ceremony and May Commencement. Occasionally, some evening/weekend/early morning hours may be required. 

Responsibilities: 

  • Provide support for students within CCPS and the University 

  • Provide full support to the department chair, program coordinators, and faculty, which may include but is not limited to: 

    • Assisting with daily projects and tasks 

    • Managing the day-to-day calendars, especially during the pre-registration periods 

    • Answering phones and responding to emails as needed 

    • Assisting with specific division events, including coordinating all room reservations and IT requests 

    • Creating and maintaining accurate files, as needed 

  • Assist with preparing documents and processing faculty hiring and adjunct contracts on a semester basis 

  • Build and maintain contacts with other departments within the University to achieve the division's goals and objectives 

  • Execute Check Requisition and Purchase Requisition on behalf of the division 

  • Provide support to the academic deans as needed. 

  • Assist with Dean's office reception area coverage as needed 

  • Assist in events/ projects that provide student engagement for CCPS 

Qualifications: 

  • High school diploma required, associate's degree preferred 

  • 1-2 years of administrative experience, especially in a high school office or college office setting, preferred 

  • Excellent computer skills: experienced in Microsoft Office Professional / Office 365, Knowledge of Banner Software preferred 

  • Attention to detail 

  • Ability to be proactive and create a positive experience for others 

 

In compliance with NYC’s Pay Transparency Act, the annual salary range for this position is $45,300 -$49,100. St. John’s University considers factors such as (but not limited to) scope and responsibilities of the position, candidate’s work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.  

 

This position may be relocated to any of St. John’s University’s physical locations at any time.
