Job Description: Departmental Assistant — Queens Campus
Reports to: Associate Registrar
Job Duties:

Work directly with the Associate Registrar on high-level projects that ensure the University remains compliant.

Appropriately process all employment and student verification via the National Student Clearinghouse on a daily basis.

Correspond with government officials, city agencies, and foreign consulates regarding student enrollment and academic history.

Support and act as a direct backup for our front-facing customer support area.

Directly support and answer a high volume of questions daily from the University's Call Center, Financial Services, Student Success Center, and the various Dean's offices on campus.

Run monthly audits and review results to ensure clean, accurate records and compliant data.

Manually process over 700 replacement grade notations each semester which directly impacts student's transcripts and GPA.

Process and correct data connected with the University's data freezes.

Manage registration for our College Advantage program each semester which requires thousands of manual registrations.

Process all course drops, withdrawals, internal transfers, AP awarded credits, advance standing requests, credit adjustments for our DUAL and Fast-Track students prior to their graduation, and other various ad hoc requests from departments on campus.

Process all Health-Related Leave of Absence requests and the registration of Academic Leave of Absences.

Close review and monitor the Pharm D class year coding which directly impacts tuition rates and financial aid eligibility, specifically FASFA and graduate loan eligibility.

Work with the ROTC office and process all ROTC registrations each semester.

Handle all legal and chosen name change requests.

Manage authentication of diplomas and transcripts, as requested.

Train and assist in supervising student workers.

Maintain and update office procedures.

Provide backup for processing electronic transcripts and printed transcripts.

Serve as backup for review and response to the Registrar's generic and visiting student email accounts.

Support undergraduate and graduate admissions throughout the year with corrections, guidance, and reviews of coding discrepancies on newly accepted students.

Maintain and verify demographic information as needed.
Because this position deals with sensitive student information, it requires not only attention to detail and academic policies but also integrity and respect for the confidentiality codes of the office, the University, and outside agencies, including the federal government. The position also requires the ability to use contemporary technology effectively, strong interpersonal skills, and the ability to work well with others. As is the case with all other positions in the office, the Departmental Assistant will have to work outside normally scheduled hours as needed.
Requirements:

Minimum of an HS Diploma or equivalent.

At least 2 years in an office setting, prior university experience beneficial.

Excellent interpersonal skills and ability to work well with others.

Knowledge of Microsoft Office Suite (Word, PowerPoint, Excel & OneDrive).

Experience with Ellucian - Banner preferred but not required.
In compliance with NYC’s Pay Transparency Act, the annual salary range for this position is $43,500 - $48,400. St. John’s University considers factors such as (but not limited to) scope and responsibilities of the position, candidate’s work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.
This position may be relocated to any of St. John’s University’s physical locations at any time.
