Position Title: Coordinator for Pharmacy Experiential Assessment and Quality Assurance

 

Organization Structure: This administrative appointment reports to the Assistant Dean for Experiential Pharmacy Education of the College of Pharmacy and Health Sciences with secondary supervision provided by the Senior Associate Dean of Pharmacy Programs.

 

Position Function: This individual will manage student placement, verify experiential site data, and maintain all pertinent experiential records. Additionally, this individual will interact with all internal and external constituents (students, preceptors, etc.) on quality assurance and assessment issues associated with the experiential pharmacy program.

 

Duties and Responsibilities

Strategic Planning

  • Participate in the Office of Experiential Pharmacy Strategic plan assessment process as directed.
  • Complete all required data collection and analysis and provide semi-annual strategic plan reports and metrics to the Assistant Dean for Experiential Pharmacy Education for review.

 

Education

  • Assist with planning and participating in experiential pharmacy student orientation sessions, including managing all logistics for the sessions and documenting attendance
  • Assist the Experiential Advisory Board Chair with the planning of quarterly Experiential Advisory Board meetings, including managing all logistics and communicating all meeting information to board members, including the distribution of meeting minutes.

 

Assessment/Quality Assurance

  • Manage and maintain the experiential education database which includes experiential sites, preceptors, and rotations offered, and assure confidentiality of all information.
  • Manage and maintain the experiential education database which includes student data and assure confidentiality of all information.
  •       Verify all completed students' hours have been entered and confirmed and all evaluations have been submitted by preceptors.
  •       Provide monthly reports to the Clinical Coordinators concerning missing final evaluations, and experiential hour confirmations for follow-up and completion.
  •       Screen midpoint evaluations and identify any deficiencies that need to be addressed.
  •       Collect and analyze data associated with the Accreditation Council for Pharmacy Education (ACPE) standards and complete all reports for distribution to respective internal and external stakeholders as outlined in the Experiential Education assessment plan.

 

Experiential Learning Placement

  • Generate the schedules for all students in all levels of experiential training, following established programmatic policies and procedures, and effectively manage reassignments when necessary, utilizing the approved software(s).
  • Communicate with students concerning placement issues in an effective manner.
  • Document and update all required data for site stipends and other preceptor benefits on a scheduled basis. A stipend summary report must be completed and submitted for payment by the end of the first quarter of each calendar year.

 

Other Responsibilities

  • Support ongoing assessment and continuous improvement initiatives.
  • Attend internal and external meetings and conferences as assigned.
  • Participate in College events which may include evenings and weekends (White Coat Convocation, Student Awards, Commencement, etc.)
  • Perform other work-related duties as assigned.

 

Minimum Qualifications:

  • Bachelor’s Degree with a minimum of 3 years of professional work experience
  • Advanced knowledge of Microsoft Office and other applications such as electronic scheduling.
  • Ability to learn and use new programs (e.g., CORE ELMS, CANVAS)
  • Demonstrate effective oral and written communication skills.
  • Ability to provide confidential, respectful, high-quality, and culturally competent service to students in a diverse campus.
  • Possess strong time management and organizational skills and the ability to prioritize assignments, effectively problem solve, and take initiative.
  • Has the ability to work effectively on a team, be flexible, and be open to different perspectives.

 

Preferred qualifications:

  •  Master’s degree in a related discipline
  •  Data management and assessment experience
  •  Knowledge of CORE LMS
  •   Experience in higher education

 

In compliance with NYC’s Pay Transparency Act, the annual salary for this position is $$62,400. St. John’s University considers factors such as (but not limited to) scope and responsibilities of the position, candidate’s work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.   

 

This position may be relocated to any of St. John’s University’s physical locations at any time.
