Development Assistant 

Law School  



The Development Assistant supports the Associate Dean of Development and Alumni Relations, Assistant Directors of Stewardship and Individual Giving and Major Gift Officers in the Law School. The successful candidate is a professional with excellent communication skills. S/he represents the Development and Alumni Relations Department well to alumni, faculty, administrators, and staff and helps promote a positive image of the department. S/he has a keen sense for finding common threads among unrelated events and/or facts and drawing the proper conclusions which s/he then uses to perform his/her responsibilities with exceptional skill. S/he works collaboratively with her managers to accomplish department goals and is a problem-solver. 




  • Gift Acknowledgement:  Generates weekly Banner reports of Law School gifts to be used for acknowledging and thanking donors. Carefully review report to make certain donor information is accurate and the gift designation matches the donor’s intentUnder the supervision of the Assistant Director of Stewardship produces weekly letters of gratitude from the Dean of the Law School and Associate Dean to donors for gifts received in the previous seven days, ensuring all donors receive timely and accurate acknowledgement of their gifts.


  • Manages receipt and processing of Law School donations:  Opens development mail, coding law school gifts received each day to ensure proper credit to the donor, and that donors’ wishes concerning the designation of the gift are adhered to; assigns credit to the development officer; submits gifts each day to Advancement Services for processing and recording of donations in Banner. 


  • Prepares Associate Dean and Law School Dean for donor and prospect meetings. Ensures appropriate briefing materials are provided on a timely basis to support fundraising efforts. Utilizing strong research skills, s/he gathers and distills publicly available information and taps into university contacts and creates in-depth briefings of current donors and prospects to aid in the cultivation and retention of donors. Information includes photos, income information, home values, relatives, biographies, employer, job title, past working history, political affiliation, other philanthropy.   Updates prospect meeting schedule of all gift officers through the fiscal year. 


  • Provides event and administrative support as needed to Associate Dean, Assistant Directors and Major Gift Officers including but not limited to: (a) stewardship events—Law Loughlin Society Reception and Endowed Scholarship Reception; record responses, prepare name badges, arrange both internal and external logistics as needed; (b) mailing of donor stewardship reports; (c) overseeing internal signatures of gift agreements and providing fully executed agreements to Business Affairs and Advancement Services. 


  • Completes a broad range of administrative tasks; prepares routine correspondence including, letters, memoranda, and reports; keeps Associate Dean well-informed of upcoming commitments, following up appropriately. Examples: calendar management and setting up meetings; inputs call reports into Banner; makes travel arrangements, tracks business expenses, prepares expense reports for submission and approval through Concur; requests and secures Banner reports; assists with research and updates of the Banner data base; list requests, spreadsheet cleansing/management for various events, secures and mails Red Storm game tickets and occasional promotional items to alumni during basketball season and throughout the year; filing, copying, scanning, phone coverage, etc. 


  • Maintains Development and Alumni Office gear inventory. Works with promotional vendors, orders products, receives invoices and processes for payment. Fulfills requests from within the Law School community. Plans and implements pop-up shops held periodically throughout the year. Plans, manages, and executes yearly mailing of the St. John’s Law magazine to featured and international alumni/donors


  • Other duties and projects as assigned.


Qualifications and Skills Needed: 


  • Ability to manage multiple tasks with superb accuracy and achieve deadlines in a fast-paced environment. Demonstrates strong sense of urgency and timely follow-up.  
  • Demonstrates reliability and consistency in quality and quantity of work. Ability to proof and edit work ensuring flawless execution. 
  • Excellent organizational skills. 
  • A high degree of competency with Microsoft Office-particularly Word and Excel. Knowledge of Access and Banner database system a plus. Resourceful in mining the Internet for research and information-gathering. 
  • Ability to work independently and take initiative in handling routine and non-routine situations. Demonstration of critical thinking and problem-solving skills. 
  • Able to work with ambiguity from time-to-time and demonstrate resourcefulness to accomplish tasks. 
  • Strong communication skills (written, oral and interpersonal). Exceptional customer service skills--on the phone and in person--with alumni, donors, and internal constituents. 
  • Ability to work in a team-based environment. 
  • Must be available to work nights and weekends on occasion.
