 Assistant Bursar - Collection Specialist 

 

 

Job Summary: The Collection Specialist reports directly to the Bursar. This position is the primary designated Bursar representative on the Staten Island Campus and serves as the sole bursar administrator. The individual provides counseling support to new students and their families interested in enrolling in the University and continuing students who have past due balances and former students who are in collections. 

 

Essential Functions: 

 

  • Provide leadership to the staff to ensure accuracy of student account information to our students by providing continual training and open communication                                                                                                             
  • Counsel new students and their families interested in enrolling in the University on financing options 
  • Counsel continuing students who have past due balances and former students in collection 
  • Serve as a cashier and assist with other fiscal operations as needed 
  • Handle calls relating to past due accounts 
  • Initiate, document and manage collection activities. 
  • Monitor compliance with monthly payment plans and coordinate follow-up communications to students who default 
  • Assist in the review of bad debt write offs 
  • Perform other collection activities as assigned 
  • Place and remove student account holds in accordance with established policy 
  • Ensure all monies (student and departmental) are secured, prepared and deposited to the bank 
  • Identify and report problems and customer feedback to the Bursar 
  • Represent the University as a speaker at Enrollment events such as Open House and Accepted Student Day. 
  • Assist with year-end financial reporting 
  • Assist with required Refund processing 
  • Provide SFS administrative support coverage to the Queens Campus as needed. 
  • Provide backup administrative support for the Office of Student Financial Services on the Queens Campus for the call center 
  • Keep the University Bursar abreast of any issues with student accounts that may impact customer service, student accounts and University relationship with outside agencies

 

Competencies 

 

  • This position requires a great deal of judgement, flexibility, creativity and strong people skills. 
  • The individual is required to  have substantial knowledge of federal, state and University financial aid programs; accounts receivable and collection management; and, strong counseling skills.
  • The Bursar relies on this position to manage the Staten Island office, procedures and policies. The ability to respond to inquiries or complaints from students, staff, faculty and third parties. 
  • The ability to work quickly and accurately with minimal supervision.
  • Excellent organizational skills and ability to handle multiple task with varied deadlines.  
  • The ability to adapt to change. 

 

Supervisory Responsibility 

 

  • This position manages student workers and a part time staff position.. 

 

Work Environment 

 

This job operates in a professional office environment. This role routinely uses a computer, standard office equipment such as copiers, phones/voice mail, fax, scanner, printers, etc. This individual is routinely exposed to indoor environment with moderate noise level and on occasion may need to work outside. The job is an on campus position but individual must be prepared to work remotely if needed and must have own access to Wi-Fi, laptop and a cell phone.

  • While performing the duties of this job, the employee is routinely required to sit, stand, move about, to carry work, reach with hands and arms, climb stairs, communicate, hear. The employee must occasionally lift or move up to 25 lbs. Specific vision abilities required by the employee include close vision, distance vision, color vision, peripheral vision, depth perception the ability to adjust focus and all day use of a computer. 
  • Employee frequently exercises flexibility {ability to shift from one task to another). Employee routinely works within time constraints and maintains attentiveness intensity. Employee frequently involved in social interactions which require oral and written communications. 
  • Employee required to hear conversations in moderate noise environments. 

 

Position Type/Expected Hours of Work 

 

This is a full-time position. Standard work days and hours are Monday through Friday, 8:30 a.m. to 4:30 p.m. Some late night and weekend work is required. 

 

Travel 

 

Travel is primarily local and will include visits to the University's Queens Campus and may include travel to the University's Manhattan campus. 
Some travel required to attend out-of-state conferences and/or professional development. 

 

 

 

Required Education and Experience: 

 

  • A Bachelor's degree is required. 
  • Customer Service Experience 
  • Experience with Microsoft Excel, Word and PowerPoint 
  • 1-2 years related work experience 

 

Preferred Education and Experience: 

 

  • 3 years Accounts Receivable, Collection or Higher Education Experience 
  • Experience using Ellucian -Banner
