Department of Rhetoric, Communication & Theatre: Department Chair Secretary

 St. John’s College

 

Essential Functions: 

  • Work with Department Chair and Assistant Chair to develop and implement any projects for the Department  
  • Serve as Department liaison to meet with students and support student engagement  
  • Work with full and part-time faculty to coordinate and prepare teaching schedules  
  • Review and monitor the Department’s budget, maintain records, and advise the Chair of the status of the budget  
  • Prepare contracts for full and part-time faculty  
  • Receive and post faculty syllabi each semester according to CBA  
  • Maintain an adequate supply of office supplies to support the office and departmental teaching needs.   
  • Maintain and update the departmental syllabi  
  • Follow up on departmental matters with the appropriate university office 
  • Attend Department meetings, compile minutes form meetings  

 

Support Department Faculty: 

  • Coordinate with the college office and Human Resources during contract time and during new hire periods 
  • Work with Department faculty to manage faculty requests (e.g. reserve rooms, order supplies, copy exams, etc.)  
  • Maintain records of faculty addresses and phone numbers  
  • Confer with faculty regarding student issues and/or conflicts 

 

Department Teaching/ Course Schedule:  

  • Prepare Department’s course schedule each semester in consultation with Department Chair & P&B 
  • Follow-up on Banner regarding the status of the courses as well as conferring and updating the Chair on any discrepancies 
  • Process changes to the schedule due to cancelations, changes to availability  
  • Preparation of semester adjunct contracts, updating Adjunct Assignment worksheet and upon approval entering information into on-line Banner/UIS system to generate contracts 
  • Work with part-time faculty and Human Resources to complete relevant paperwork  
  • Confer with Honors Program and other Departments to resolve any problems with cross-listed courses  
  • Once finalized, post schedule for faculty & students  

 

General Responsibilities:  

  • Maintain and order office supplies  
  • Post schedules, notices, or relevant information  
  • Distribute to faculty important notices from Provost’s Office, Dean’s Office, or Department Chair  
  • Coordinate with faculty and IT any tech issues in and outside of the classroom  
  • Reserve University space for Department meetings, special events  
  • Maintain the Department Office, mailroom  
  • Coordinate the reporting of maintenance issues to Facilities Dept. for repairs, etc. 
  • Provide assistance to Communication Sciences and Disorders department if and when needed.

Skills: Working knowledge of MS Office Suite (Work, Excel, PowerPoint, OneDrive, Teams), Internet and E-mail. Knowledge of Banner is favorable. Safely operate office equipment (Computer, copier, fax, printer, scanner and phone). 

 

Qualifications:  

  • High School Diploma required.  
  • Minimum 3 to 4 years’ experience, preferably in education setting.  
  • The ideal candidate must have excellent interpersonal, verbal and written communication skills.  
  • Good time management and organizational skills are required/ 
  • Must exhibit flexibility and be able to perform successfully independently as well as with others.
