DIVISION SECRETARY, HUMANITIES

TERMS OF EMPLOYMENT: 9-month position (work 2nd week in August through the week after commencement in May) with 12 months’ benefits, 37.5 hours per week.

CLASSIFICATION: ESP

HOURLY RATE: $16.25 per hour

FLSA STATUS: Hourly/Non-Exempt

JOB SUMMARY: The Division Secretary provides clerical support to Staff, Department Chairs, Occupational Coordinators, Full-time and Adjunct Faculty, and both current and prospective students.

RESPONSIBILITIES: 

  • Provide reception and secretarial support to the academic offices assigned, while adhering to college policies and procedures.
  • Assist with updating and maintaining academic-related processes including but not limited to, annual schedule, textbook list, office hour details, faculty absences, class cancellation, adjunct evaluation, grade books and syllabi, curriculum documentation, and schedule revisions as assigned.
  • Perform customer service functions by answering phones, greeting visitors, and answering basic requests and questions from students, faculty, and staff.
  • Assist in maintaining departmental budgetary records, assist with office supply and lab inventory and process orders as needed following established college purchasing guidelines.
  • Process, maintain, and file confidential faculty and student information.
  • Perform data entry duties and generate reports as assigned within the purview of the position.
  • Serve as a “front-line” academic representative of the department/division, handling student, staff, and faculty interactions daily.
  • Assist as applicable with program application processes.
  • Clerical oversight of work-studies tasks as assigned.
  • Perform other duties as assigned.

SUPERVISION RECEIVED: Supervision received from the Academic Processes Manager.

EDUCATION/EXPERIENCE: Associate’s degree preferred. Will consider candidates in process of obtaining an associate’s degree. One year of related experience is preferred. 

MINIMUM QUALIFICATIONS:

  • Ability to communicate effectively, both orally and in writing.
  • Strong interpersonal skills; ability to work effectively with faculty and staff at all levels.
  • Organized and detail-oriented with high level of accuracy while meeting deadlines.
  • Highly proficient in Microsoft Office applications including Excel, Outlook, PowerPoint, and Word.
  • Strong work ethic, energetic, self-motivated, sense of urgency and “can-do” attitude.
  • Team player, able to get along well with others, advocate and exemplify a cooperative approach to solving problems.
  • Ability to work independently, manage multiple tasks and prioritize assignments.
