The Brandt Companies were created under the leadership of Barry Moore and Mark Zilbermann in an ever-expanding quest to provide our clients with on-time, in-budget construction service, complete commissioning assistance, and long-term facilities maintenance. Service Business Supervisor
Administration Support, Division/Branch
POSITION SUMMARY
Supervise the daily Service administration functions, including, but not limited to a/p, a/r, dispatching, tracking, invoicing, reporting, and customer service, in support of the Service Operations and Sales teams. Implement and executive performance standards reflective of Brandt’s culture, mission and goals. Foster an environment that promotes productivity, profitability, and growth.
What you’ll do:
- Ensure that customer billings and invoice delivery are preformed accurately and on a daily bases.
- Ensure that accounts receivables are recorded and monitored on a daily bases and collections are performed purposefully and in accordance with existing policy.
- Ensure effective communication between Sales and Admin so that new job set-up is consistently accurate and thorough and scheduling and dispatch are prompt.
- Emphasize the importance of accurate data entry into WennSoft and establish an effective “check and balance” system to avoid costly mistakes.
- Monitor the operating costs of the service administrations staff. Ensure that staff is working efficiently and effectively within budget or as required to ensure profitability.
- Track all Service department expenses and provide weekly feedback to the Operations and Sales Managers.
- Monitor performance and profit standards on service maintenance contracts, quoted service work, and T&M projects. Provide daily feedback status to the Operations and Sales Managers.
- Ensure that service requests and customer account information are correctly entered and updated. Pertinent account information is collected from new/pending customers for credit verification/approval.
- Ensure that service calls are prioritized properly and the needs of the customers are matched to appropriately-skilled technicians. Track daily progress of service calls. Ensure that technician work hours are promptly collected and entered into the system on a daily basis.
- Ensure that all service calls are dispatched in a timely manner and customers are provided an ETA and notified promptly of any delays, as they occur. Communicate with customers to ensure work-performed meets or exceeds expectations.
- Ensure purchase orders are entered and issued accordingly.
- Plan, organize and staff key Service administrative positions to accommodate department activity.
- Manage, develop and motivate staff. Establish performance standards and ensure the availability of career development and training opportunities to help consistently achieve optimal results and improve the administrative workforce.
- Partner with the Operations and Sales Managers to develop and implement systems and procedures that foster positive customer relations and ensure prompt and thorough resolution of customer inquiries, requests and complaints.
- Investigate potentially serious customer complaints to help remedy the situation and promptly implement corrective measures as required.
- Work with Operations and Sales Managers to explore new systems and methodologies that can improve customer service and employee performance.
- Partner with Operations and Sales Managers to develop department budget, monitor expenses and ensure the group operates efficiently and effectively.
- Assist with determining quarterly sales commission payments.
- Perform additional assignments as requested/needed.

- Thorough understanding of business/industry practices, standards and processes
- Thorough understanding of and respect for safety and OSHA rules & regulations
- Excellent motivational and leadership qualities
- Strong written and verbal communication skills
- Strong organizational and problem-solving skills
- Advanced computer skills (MS Office); WennSoft experience a plus
- Outstanding customer service skills; ability to handle multiple demands calmly and politely
