POSITION SUMMARY

 

 

This role is responsible for assisting project teams with accounting and administrative duties, such as meetings, resources, equipment and information.

 

 LOCATION: San Diego, CA - HYBRID 

 

What you’ll do:

 

  • Performs data entry into ERP (COINS) and runs reports as needed for change orders, subcontract agreements, 
    subcontract change orders, labor feedback and job cost reports.
  • Assists project team with customer and subcontractor invoice processing (A/R and A/P). Manage incoming incentive payments and coordinate application
  • Assists with preparation and quality control of monthly cost-reimbursable billings to customer.
  • Assist with the preparation and submitting of submittal packages.
  • Organizes and tracks subcontracts, change orders, insurance, billings,
  • Analyzes open commitments at closeout and follows up with subs and vendors to ensure no further costs are 
    owed before closing project.
  • Updates and tracks meeting minutes and; maintains an organized filing system of project files; 
    and archives files and drawings.
  • Various other tasks as requested by the project team.
  • Coordinate with legal department on contract compliance, track Manage Master agreements.
  • Assists Project Managers with entering and updating construction schedules in MS Project. 
  • Tracks project deliverables and assists with light data entry, organizational and analysis tasks. 
  • Supports logistical planning required for building data collection visits or incentive inspections.

 

 

What you’ll need to be successful:

 

 

  • Strong Microsoft Office Suite skills, specifically Excel and Word.
    Experience with ERP systems.
  • Strong verbal and written communication skills.
  • Strong organization and time management skills.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and 
    procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.

 

 

What you bring to the table:

 

 

  • Associate Degree or equivalent experience.
  • Minimum 2 years’ related experience.

Pay:  Final pay is determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data. For (Colorado/New York City/California/Washington) this ranges from $60,000.00-$75,000.00 plus annual incentive, benefits and retirement program as outlined above.
