General Description and Responsibilities
Employing exceptional interpersonal skills, management, leadership, and technical understanding, the Shenandoah University Admissions Visits Coordinator is a key member of the Admissions On-Campus Experience team (OCE) and reports to the Senior Assistant Director of On-Campus Experience. The Office of Admissions is the central office responsible for the recruitment of new students to Shenandoah University across undergrad, transfer, international, and graduate students. The Admissions Visits Coordinator plays a critical, pivotal role in that responsibility, as the primary supervisor for the Admissions Welcome Center. On average, the Admissions Welcome Center hosts over 1,500 prospective first-year, transfer, and graduate student visits per year and responds to over 10,000 phone calls and emails per year. The Admissions Visits Coordinator represents the University by ensuring all admissions-related constituents experience a caring and friendly attitude, a helpful and professional demeanor, and the receipt of accurate, timely information, setting the stage for a positive and productive SU experience. As a whole, the Admissions OCE team recruits prospective students of all types (First-Year, Transfer, and Graduate) to the University using exceptional campus-based (virtual and in-person) experiences.
The Admissions Visits Coordinator is responsible for overseeing the Admissions Welcome Center and the coordination, organization, and execution of all Admissions visits, ensuring each visitor has a positive experience. In addition to overseeing the Welcome Center, the Admissions Visits Coordinator manages the student Hornet Ambassador program, in which 50+ students participate in. The Admissions Visits Coordinator manages a high-level campus tour experience, ideating and teaching various tour routes to student employees and professional staff. The Admissions Visits Coordinator works with all Admissions staff to craft an excellent prospective student visit process, from registration through execution and follow-up. The Admissions Visits Coordinator must function as an integral member of the student recruitment team and work collaboratively with other members of the Admissions staff to achieve new student enrollment goals. This will require an in-depth knowledge of the duties and responsibilities of other staff members, the timing of the varied admissions cycles and the academic calendar, as well as campus operations.
The Admissions Visits Coordinator will:
- Function as a fully participating member of Admissions, the R&M Division and the Shenandoah University community, serving on projects, committees, and special events as assigned by the supervisor.
- Along with the On-Campus Experience Team, coordinate and execute high-quality Admissions Events and activities, from conception to execution. Events can be scheduled on evenings and weekends, and the Admissions Visits Coordinator should be prepared to work these hours as expected.
- Work closely with the Director of FY & Conservatory Admissions, the Admissions Operations team, Director of College Outreach, On-Campus Experience team, and Slate Captains to better understand the event needs of the office at large.
- Employ broad knowledge of the University’s academic, athletic, and student life programs to communicate and assist admissions constituents.
- Develop and maintain strong relationships with campus partners, in connection with their supervisor, in order to gather and disseminate up-to-date and accurate information for ambassador use on campus tours.
- Function as an active member of the On-Campus Experience team, constantly seeking feedback as to the quality of experience and taking the appropriate action with campus partners to improve and problem-solve as needed.
- Stay up to date with relevant trends and emerging knowledge respective to the college admission and search process, specifically the visit experience and prospective student expectations.
Welcome Center Responsibilities:
- Act as a primary supervisor for the Admissions Welcome Center and the Hornet Ambassador program, to handle all logistics and visitor traffic and serve as a critical voice in shaping the vision and tone for the welcome experience.
- Manage phone and email communications for the department in a professional, helpful manner, provide in-depth and accurate information, and transfer calls when necessary to the most appropriate person or office.
- Work with the On-Campus Experience team and student employees to recruit new students through the use of noteworthy customer service and hospitality in order to create an exceptional visit experience.
- Ensure that student employees and OCE staff are sufficiently trained to manage phone and email communications in a professional, helpful manner
- As needed, serve as “counselor on duty,” consistent with the function of an in-house service specialist. The “counselor on duty” presents daily campus visit presentations and provides departmental expertise in responding to unanticipated requests for services from prospective families, such as, but not limited to, unscheduled tours, specialized appointments, and requests to see spaces not included on the regular daily tour.
- Coordinating with the OCE team to create daily visits, Saturday visits, virtual visits, and custom 1-on-1 visit experiences for prospective students and their families. This includes but is not limited to:
- Creating events and monitoring registration through our Admissions CRM, Slate.
- Confirming and coordinating details of visits with Admissions counselors, faculty, staff, and coaches across campus.
- Reserve additional spaces, as needed, for visits and presentations
- Anticipate the needs of upcoming visits with respect to size, accessibility, interests, weather, and more.
- Timely and efficient communication with prospective students, Admissions staff, faculty, staff, and coaches.
Hornet Ambassadors Supervisor Responsibilities:
- Maintain a high-quality admissions student ambassador program, with assistance from the Senior Assistant Director of On-Campus Experience. This includes but is not limited to, selecting, developing, training, scheduling, supervising, and evaluating student workers who will positively represent the Shenandoah University Office of Admissions in their recruitment activities.
- Develop and monitor the consistency in delivering certain key facts, experiences, and information that are standard on each tour. Track and maintain data on tour guide performance, and develop methods to measure and ensure quality.
- Alongside the On-Campus Experience team, provide Ambassadors’ support for campus visit program and Admissions events, including Open Houses, Daily visits, Weekend visits, and other opportunities to showcase Shenandoah University.
- Develop and maintain strong relationships with campus partners in order to gather and disseminate up-to-date and accurate information for ambassador use on campus tours.
Required Skills
Qualifications/Requirements:
- Strong interpersonal and customer service skills, including professionalism, engagement, enthusiasm, initiative, a positive attitude, and a commitment to achieving the university’s new student enrollment goals.
- Excellent digital literacy, writing, and public speaking skills.
- Efficient organizational skills; ability to structure, manage, and assess the effectiveness of projects.
- Demonstrated ability to work with a team, but also to employ self-direction and accountability in the management of assigned responsibilities.
- A bachelor’s degree from a regionally accredited college is preferred.
- Previous work experience in a customer service environment.
- Higher education experience, with direct service to students.
- While experience with Slate, or a comparable admissions CRM system, is preferred, it is not required. Supplemental training will be made available to build Shenandoah specified slate competencies
- Valid driver’s license with good driving record and ability to pass a driving background check. Adhering to university policies and procedures regarding travel.
- Must be able to lift 50 lbs. into and out of a vehicle.
- Much of our work occurs off hours and willingness to work evenings, weekends as needed. Shenandoah allows for an Innovative Work Arrangement (IWA) once demonstrated proficiencies are developed as outlined by the supervisor, including the possibility of a flexible work schedule.
