Shenandoah University’s Office of Advancement is accepting applications for a Gift and Data Manager. This is a full time, benefited position located in the Feltner Building in downtown Winchester, VA.

The Gift and Data Manager oversees the use of Blackbaud for gift, pledge, estate and biographical recording. This position manages the daily gift deposits, which are reconciled to the SU the Business Office monthly. The Gift and Data Manager completes analysis of best practices in the industry, and in Blackbaud, and recommends policies and procedures for gift/record activity and audits. This position is responsible for all actions related to gift/records for receipts, reminders and individualized acknowledgement letters.

ESSENTIAL RESPONSIBILITIES:

  • Provides leadership in the development of policies and practices of gift recording adhering to industry best practices, CASE Management Reporting Standards and IRS regulations. Develops and tests recommended strategies for the most efficient use of Blackbaud for gift and pledge entry.
  • Manages the daily activity for all gifts, pledges, estate or other donor transactions and related updated information into Blackbaud with continuous improvement assessment. Manage gift analysis and entry procedure and process daily gift batches in a timely and accurate fashion to adhere to Advancement's 48-hour turnaround receipting/acknowledgment policy.
  • Analyze gifts to determine appropriate campaigns, funds, appeals for each gift to be processed; produce receipts and acknowledgement letters. Required to accurately value gifts of securities for donor gift and tax purposes and university records. Reconcile endowment transactions and gift auditing issues.
  • Assist donors with questions related to their gifts with accurate and timely follow through of appropriate stewardship resolving their gift question or providing the linkage support needed to be supportive.
  • Responsible for Advancement’s official documentation of pledge commitments with regular auditing of documentation to ensure no audit report management comment and to mirror industry standards.
  • Prints and validates receipts and posts gifts to history file; monitors, prints and validates monthly reminders for pledges. Coordinates quarterly refreshing of copy for acknowledgement letters.
  • Provides leadership in gift processing protocols through a deep understanding of Blackbaud tables, codes and processes. Partner effectively with the SU Business Office on matters related to fund accounting.
  • Process and enters matching gift, payroll deduction, credit card and in memory/honor of gifts to protocols. Evaluates current practices for each and recommends new entry and reporting standards for improved efficiency.
  • Produce various reports pertaining to the gift entry, including daily gift report; monthly reconciliation reports and monthly/annual gift reports. Validates all reports for accuracy prior to distribution.
  • Organize, coordinate and maintain the integrity of hard copy filing system for immediate and up-to-date access.
  • Update information in Blackbaud that is received event registrations that pertains to Gift Processing to ensure any resulting receipts will be processed accurately.
  • Performs other duties as assigned.

 


Required Skills

EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES

Required

  • Associates degree or five years of data-services related experience
  • Strong organizational and communication skills with exemplary attention to detail and maintenance of confidential information.
  • Exemplary knowledge Windows and Microsoft Office applications
  • Ability to prioritize work and to perform multiple tasks simultaneously while adhering to deadlines.
  • Ability to perform under minimum supervision and to act independently within the scope of normal duties and responsibilities.
  • Well-honed problem-solving and analytical skills with ability to learn complex data entry codes and procedures quickly.
  • Strong leadership skills, donor-centric/customer-service oriented and ability to work as part of a team.

Preferred:

  • Prior experience in assessment and/or policy/procedure development.
  • Knowledge of Blackbaud fundraising management system.
  • Experience with accounting practices.
