POSITION SUMMARY

Servtech, A Roeslein Company, is seeking an Executive Assistant I, reporting to the President of Traditional Oil and Gas in our manufacturing facilities for the energy, mining, industrial power markets, and Integrated bio-energy solutions. This individual must have the desire to perform quality work safely, be detail-oriented, and have a superior customer focus. This individual must be able to work independently as well as in a team environment.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Ability to effectively interact with co-workers, clients, vendors, and other business contacts.

  • Provide clerical and administrative support, including answering phones, greeting visitors, running errands, copying, faxing, scanning, and filing.
  • Prepare presentation materials in a variety of forms and formats.
  • Schedule meetings, organize calendar events, and establish travel arrangements, including preparation of Travel Itineraries when necessary.
  • Set up and maintain files, organize, and prioritize information, and generate correspondence and reports.
  • Provide visible leadership engagement, be aware of housekeeping, and take additional safety precautions to ensure no one is put at risk.
  • Do not take shortcuts or unnecessary risks and actively work with others to ensure they take due care and do not put themselves or others at risk.
  • Manage company events including scheduling and catering, including visitor lunches.
  • Prepare and manage office and conference rooms for meetings with vendors and clients.
  • Manage, stock, and order office, kitchen, and janitorial supplies. Maintain kitchen area and stocking/cleaning of all refrigerators (kitchen and conference rooms).
  • Assist with the purchase of office supplies, furniture, maintenance of office equipment, and more, for the entire staff following company purchasing policies and budgetary restrictions. 
  • Enter approved expense reports for payment. Manage and pay per diem for traveling employees. 
  • Ensure that all visitors have reviewed our safety video and are equipped with proper PPE (Personal Protective Equipment). 
  • Ensure that all loaned PPE is clean and in good condition. 
  • Work independently and within a team on special nonrecurring and ongoing projects.
  • Conduct activities safely and healthily and work following established safety and company requirements.
  • Support the month-end close and other accounting processes.
  • Exhibit friendly, positive, and team-like behavior.
  • Follow all Company policies and procedures. 
  • Ensure that personal behaviors and work practices are in line with Company safety standards.
  • Ensure all incidents are reported and appropriately investigated following Company procedure.
  • Collect and distribute incoming mail.
  • Manage phone system database.
  • Manage IT inventory.
  • Conduct activities safely and healthily and work following established safety and company requirements.
  •  Assist accounting department on an as-needed basis. 
    • Assist with set-up of new Jobs in Job Cost system – enter contracts, estimates, and change orders. 
    •  Assist with posting payments received from customers. 
    • Assist with answering accounts payable inquiries and resolve accounts payable issues.   
    •  Assist with petty cash reconciliations.   
    •  Assist the accounting department with recurring Purchasing, AR, AP, and special projects. 
  •  Support the month-end close and other accounting processes.
  •  Provide account coding for invoices for the department.
  •  Perform other duties as assigned.  

 

SKILL/ KNOWLEDGE/ ABILITY/ EDUCATION/ EXPERIENCE

  • High School Diploma or G.E.D. is preferred.
  • Five (5) to Eight (8) years of administrative experience is preferred.
  • Computer skills and an in-depth knowledge of Microsoft Windows-based programs are required.
  • Excellent communication skills, both oral and written, are required.

 

WORK ENVIRONMENT

Work is performed in a controlled atmosphere.

 

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential function of this job. While performing the duties of this position, the employee is required to walk, stand, reach with hands and arms; talk and hear. Sitting 90%; standing/walking 10%. Occasionally lift and or move up to 20 pounds and 40 pounds rarely.
