POSITION SUMMARY:

The Accounts Receivable Administrator is responsible for setting up jobs in the accounting system, billing customers, and recording payments received. This role ensures proper accounts receivable procedures are followed.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Set up new jobs in the job cost system, including entering contracts, estimates, and change orders.
  • Prepare and send customer invoices.
  • Post customer payments.
  • Maintain accounts receivable reports and monitor overdue invoices.
  • Coordinate with Project Managers to follow up on past due accounts.
  • Assist Project Managers and Management with special projects.
  • Handle daily accounts receivable and collections tasks.
  • Build and maintain relationships with employees across all locations.
  • Follow safety procedures and company policies at all times.

OTHER DUTIES AND RESPONSIBILITIES:

  • Manage intercompany billings.
  • Learn and understand company accounting practices.
  • Update standard operating procedures related to accounts receivable.
  • Contribute to a positive work environment to support company goals.
  • Perform other duties as assigned.

KNOWLEDGE / SKILLS / ABILITIES / EDUCATION / EXPERIENCE:

  • Highschool diploma or GED required.
  • Associate’s degree in Business Administration or Accounting preferred.
  • Minimum of one (1) year of experience in bookkeeping, accounting, or accounts receivable required.
  • Understanding of basic bookkeeping and accounts receivable functions.
  • Accuracy with numbers and have intermediate math skills.
  • Willingness to learn international transaction processes.
  • Ability to guide others in following accounting procedures.
  • Strong written and verbal communication skills.
  • High attention to detail.
  • Good organizational and planning skills.
  • Willingness and ability to learn new systems and processes.
  • Proficient in Microsoft Word and Excel.
  • Strong time management and adaptability skills.
  • Ability to interact professionally with coworkers, clients, and vendors.
