Position Summary:
The Procurement Administrator is responsible for supporting the Procurement team by entering and verifying purchase order data and ensuring timely communication and coordination throughout the procurement process.

Essential Duties and Responsibilities:

  • Prepare and distribute vendor documents, including confidentiality agreements, credit applications, certificates of insurance, and vendor acceptances
  • Manage the Procurement team email inbox, responding to inquiries and routing items appropriately
  • Reconcile invoices and resolve discrepancies, including processing credits and returns
  • Issue Purchase Orders for construction rentals and internal fabrication needs (e.g., forklift rentals, apartment leases, internet setup, etc.)
  • Enter Purchase Orders for equipment, subcontracted labor, and onsite mobilization
  • Work closely with Construction and Project Management teams to gather and confirm purchasing details

Requirements:

  • High school diploma or GED required
  • Associate's or Bachelor’s degree in Supply Chain Management, Procurement, Business, or a related field preferred
  • Experience with ERP systems such as SharePoint, Viewpoint, or similar platforms preferred
  • Strong written and verbal communication skills
  • Prior experience in purchasing, accounts payable, or shipping and receiving preferred
  • Excellent organizational and time management skills
  • Ability to identify and resolve discrepancies in purchasing or invoicing
  • Strong problem-solving and analytical abilities
  • Proficiency in Microsoft Office, especially Word, Excel, and Outlook
  • Strong attention to detail and commitment to accuracy
