We’re looking for a proactive, organised and relationship‑driven Program Coordinator to support the delivery of key programs and initiatives. If you love keeping complex work humming, bringing people together, and making sure nothing falls through the cracks, you’ll feel right at home here.

What you’ll be doing

Portfolio Support

  • Coordinate day‑to‑day program and project activities -  from scheduling meetings and managing room bookings to preparing agendas, minutes and presentation materials.
  • Maintain project artefacts, schedules, risk and issue registers, and change request logs across SharePoint, Jira and other tools.
  • Support project streams with administration, budgeting assistance and resource coordination.
  • Liaise with internal and external stakeholders to ensure tasks, dependencies and deliverables stay on track.

 

Schedule, Reporting & Analysis

  • Update and maintain program and project schedules in collaboration with Program Directors, Project Managers and Delivery Leads.
  • Coordinate reporting and dashboards covering status, timelines, risks, budgets, benefits and value realisation.
  • Support governance forums including Quarterly Business Reviews and the Strategic Program Board.
  • Ensure reporting is accurate, timely and insightful - and contribute ideas to improve processes.

 

Customer & Stakeholder Experience

  • Deliver exceptional service to internal and external stakeholders, ensuring communication is clear, timely and professional.
  • Work closely with business teams and implementation partners to share insights and support portfolio objectives.
  • Assist the Senior Manager VMO with stakeholder engagement activities and communication across the transformation portfolio.
  • Contribute to a culture of continuous learning, collaboration and excellence.

 

What you’ll bring

  • Demonstrated experience in senior-level coordination or administration within medium to large project environments.
  • Strong organisational skills and the ability to juggle competing priorities with confidence.
  • Excellent written and verbal communication skills.
  • High level of initiative - you anticipate needs, solve problems early, and work effectively without supervision.
  • Ability to build strong, respectful relationships across diverse teams and stakeholders.
  • A collaborative mindset, with the flexibility to adapt to changing priorities and perspectives.
  • Sound judgement and the ability to maintain confidentiality around sensitive project information.
  • Financial awareness and the ability to monitor expenditure against budgets.
  • Proficiency with Microsoft Office, SharePoint Online, MS Teams, and ideally Jira, MS Project and Visio.

Qualifications (desirable):

  • Certificate in Project Management
  • Certificate in Business
