Operations Administration Officer

- 10 month, part-time (22.5 hours per week) maximum term contract

RAA is seeking an Operations Administration Officer to manage the end-to-end ordering and fulfilment of mobility scooters while building strong relationships with suppliers, partners and members. This role plays a key part in ensuring smooth delivery, accurate processing, and excellent customer experiences while supporting revenue, stock movement and operational efficiency.
About the role
In this hands-on role, you’ll be responsible for coordinating operational administration activities from quote through to delivery, while providing high-quality service to members, internal teams and external partners.
Your key responsibilities will include:
Operations & Mobility Scooter Administration
- Coordinate and schedule mobility scooter deliveries and demonstrations
- Build and maintain strong working relationships with Occupational Therapists, Plan Managers and suppliers
- Prepare accurate quotes and invoices for My Aged Care and NDIS customers
- Compile handover documentation and update systems following delivery
- Assist with after-sales support, including warranty queries and basic troubleshooting
Invoice Processing
- Process supplier invoices accurately and in a timely manner
- Maintain regular communication with suppliers to resolve invoice discrepancies
Inventory & Reporting
- Manage the retail returns process
- Produce analytical reports on stock, sales and purchase orders
- Maintain and upload accurate product information in stock management systems
Customer Service
- Respond to internal and external customer enquiries via phone and email
- Provide clear, accurate product information and timely support
What you’ll bring
Knowledge & experience
- Completion of secondary school (mandatory)
- Exposure to retail or warehouse operations, including stock management
- Understanding of My Aged Care and NDIS schemes (preferred)
- Experience in logistics or supply chain environments (preferred)
- Knowledge of WHS practices and dispute resolution (desirable)
Skills & capabilities
- Strong numerical literacy with excellent attention to detail
- Customer-focused approach with clear and confident verbal and written communication
- Highly organised, self-motivated and able to manage a high-volume workload
- Proven ability to multitask, prioritise and work effectively in a fast-paced environment
- Strong problem-solving skills and the ability to work under pressure
- Basic to intermediate proficiency in Microsoft Excel
