Position: Customer Care Coordinator
Job Purpose:
As a Customer Care Coordinator, you will play a crucial role in delivering exceptional service to our clients, ensuring their needs are met efficiently and professionally. You will be the backbone of our order processing, ensuring accuracy and timeliness while contributing to a positive customer experience.
Key Responsibilities:
- Customer Communication: Handle incoming calls, faxes, and inquiries promptly.
- Order Processing: Efficiently manage new order intake and track equipment to ensure timely deliveries.
- Coordination: Schedule evaluations and adjustments with clients and referrals.
- Documentation Management: Request, collect, and review essential order documents (e.g., Functional Mobility Evaluations, Letters of Medical Necessity).
- Team Collaboration: Keep the team informed about order statuses and coordinate with clients regarding coverage and financial responsibilities.
- Payment Processing: Collect and process out-of-pocket payments and reconcile deliveries with billing.
- Research and Support: Assist with vendor equipment research and maintain up-to-date contact information for medical professionals.
- Mail Management: Handle physical mailouts, including no contact letters and delivery paperwork.
- Forecasting: Provide monthly delivery forecasts to improve planning.

Qualifications:
- High School diploma/GED required; Associate’s degree preferred.
- Minimum of three years of relevant experience in a fast-paced office environment.
- Positive, customer-focused attitude with strong interpersonal skills.
- Proficiency in Microsoft Office Suite and experience with technology for optimizing efficiency.
- Ability to thrive in a fast-paced environment while managing multiple priorities.
- Excellent written and verbal communication, listening, organization, and prioritization skills.
Physical Requirements:
- Ability to perform essential functions of the position, with reasonable accommodations as necessary.
- Prolonged periods of desk work and computer use.
- Flexibility to work overtime as needed.
