Pay Range: $55,500 - $76,000. Exact compensation may vary based on skills, experience, and location.

JOB PURPOSE:

The Benefits and Leave of Absence Specialist works on the day-to-day administration and support of leave of absences and employee benefit programs, including medical, dental, vision, HSA, FSA, COBRA, life insurance, disability, 401(k) retirement plan, and wellness. This role acts as a liaison between Numotion’s Leave of absence vendor, and employees, managers, and HR partners within the organization, and is critical in managing effective communication between types of leaves and the needs of the business.

KEY RESPONSIBILITIES:

 Benefits

·        Communicate benefits information to employees via email, SharePoint, and workplace.

·        Provide ongoing support for employees’ questions in partnership with our third-party benefits administrator.

·        Proactively seek resolution for employees’ benefits concerns by consulting with our third-party benefits administrator, benefits advisors, and insurance carriers.

·        Provide new hires with benefits information and enrollment instructions.

·        Manage shared email inbox for all benefits communications and redirecting as needed.

·        Run and distribute reports, handle incoming requests, process benefit deduction credits, and create insurance payment schedules.

·        Manage monthly schedule for processing of all benefits invoices and submitting each invoice for payment for timely payment to carriers and vendors.

·        Support the benefits team completing forms for employees, tasks related to 401(k) retirement plan participant requests, year-end compliance testing, and annual plan audit.

·        Assist with Annual Benefits Open Enrollment, including drafting and sending employee communications and the preparation of an OE intranet page.

Leave of Absences

·        Coordinate leave of absence (LOA) activities including managing leave tracking spreadsheet, running leave reports, communicating with employees and managers.

·        In partnership with our third-party Leave of Absence Administrator, coordinate the full cycle of various types of leaves, including but not limited to FMLA, ADA leave, personal leave, jury duty, and other state leaves.

·        Provide LOA instructions to employees and maintain communication with employees during leave.

·        Counsel employees regarding leave of absence, including explaining leave policies, and exercise judgement when to escalate complex leave cases to HR partners.

·        Communicate leave status requests and determinations to managers and provide guidance to ensure compliance with federal and state leaves.

·        Work with employees and HR Partners on ADA interactive process, respond to accommodation requests, and collaborate with Senior Benefits Specialist on complex issues.

Wellness

  • Support wellness initiatives such as company-wide health programs, preventive care incentive program, tobacco cessation program, and more.
  • Assist in coordinating events such as wellness seminars and guest speakers.
  • May assist with additional wellness activities as needed, including but not limited to preparing agendas for meetings, working with marketing and IT as needed.

·        Always provide excellent customer service for all internal and external customers of the operations.  Provide solutions for customer concerns and continually focus on customer service as our top priority.

REQUIRED QUALIFICATIONS, SKILLS, AND EXPERIENCE:

·        Bachelor's degree in a related area strongly preferred or equivalent work experience.

·        2+ years’ experience with benefits and leave administration.

·        2+ years’ experience managing leave of absence in a multi-state setting, with knowledge of FMLA, ADA, short-term disability, long-term disability, and other paid leave programs.

·        A highly organized and detail-oriented professional who can work independently and can function as a team member both within HR and cross-functionally.

·        An innovative problem-solver who proactively identifies ways to improve processes.

·        Ability to maintain employee confidentiality and be sensitive to employee leave and benefits issues.

 

PREFERRED COMPETENCIES AND QUALIFICATIONS:

·        Excellent written and verbal communication skills.

  • Sense of urgency, attention to detail, exceptional collaboration skills.

·        Ability to concentrate and remain focused while handling multiple tasks, responsibilities, and projects, while ensuring data accuracy.

·        Proficient in Microsoft Office applications, including Excel; ability to learn other applications as defined by department needs, including web-based presentations.
