SUMMARY OF RESPONSIBILITY:
The Fleet Coordinator is responsible for managing all aspects of Numotion’s fleet, including but not
limited to ordering and delivery, driver and equipment auditing, maintenance tracking and reporting,
claims management, monthly metrics reporting and Fleet Manual and work practice implementation
and training.
Essential Functions:
- Monitor and ensure fleet operations are in compliance with local and state rules and regulation
- Develop, lead and implement sourcing initiatives to reduce cost and provide year-over-year cost and quality improvements for Fleet, including up-fit modifications
- Manage the organization and monitoring of fleet maintenance and registration programs
- Create and deliver metric reports related to operational costs (e.g., cost per mile), preventative maintenance and scheduling, aging, vehicle availability and incident claims
- Integrate vehicle data with accurate driver/branch assignments and cost allocations, including bimonthly or quarterly inventory audits
- Review, approve and submit for payment lease and service billings
- Develop and implement safety and use standard operational procedures maintaining vehicles by advocating best practices in industry
- Manage vehicle accident reporting and incident investigation program, including post-accident training program using online EHS Management System and claims management process
- Manage daily operational needs of drivers (e.g., fuel cards, fuel pin assignments, tolls, 1st party accidents, telematics devices, dash cams, etc.)

§ Admin for the continuous MVR system (update and maintain this system)
§ Admin for the telematics system dashboard and run weekly reporting
§ Update the Fleet Dashboard as required
§ Prompt communication with leaders daily
Other Functions:
- Participate in fleet specification and selection process.
- Work with auto insurance carrier on vehicle coverage.
- Participate in department projects as needed.
Expected Travel – 10%

QUALIFICATIONS AND COMPETENCIES:
- Associates Degree or higher
- Two or more years of Fleet Coordination experience preferred
- Certified Automotive Fleet Manager certification a plus
- Must possess excellent interpersonal and customer service experience
- General knowledge of DOT, OSHA and safety regulations as they apply to fleet
- Ability to work in a fast-paced environment and juggle multiple priorities, and work independently.
- Able to think strategically to assess a situation and make sound decisions
- Able to use technology to optimize efficiency and effectiveness
- Solid written and verbal communication, listening, organization and priority setting skills
- A track record of being consistent with attendance and prompt arrival at work and meetings
- Ability to perform job with integrity and values consistent with the Numotion Mission
- Proficiency in Outlook, Word and Excel is required, including pivot table experience
- Previous experience working with web-based fleet management systems
- Exercises good judgment when dealing with challenging stakeholders
- Confidence and credibility with excellent communication and relationship management skills
- Ability to meet deadlines/deliver on promises
